Duplicate and rollover a review cycle

This step-by-step guide covers duplicating reviews, updating settings, managing forms, and using AI tools to ensure your new review cycle is ready to launch.

This guide walks you through duplicating an existing review and preparing it for your next cycle. You'll learn how to duplicate a review with all its structure intact, update key settings and content, and use AI tools to help you spot anything that needs refreshing.

Duplicating a review

When you duplicate a review, you're creating a copy of the review structure, including all steps, form fields, settings, and email templates. However, participant assignments, submitted responses, and historical data won't be carried over—giving you a clean slate for your new cycle.

  1. Locate the review you want to duplicate in your reviews list

  2. Click on the three-dot menu next to the review name

  3. Select 'Duplicate' from the dropdown menu

  4. Review the confirmation message showing what will and won't be duplicated

  5. Give your new review a title (you can do this during duplication)

  6. Click 'Duplicate' to create the new review

  7. Scroll down to find your newly created review—it will be in draft mode with no participants assigned

Updating review settings

Once you've duplicated your review, you'll need to update the settings to reflect your new review cycle. This typically includes dates, participant groups, and any cycle-specific configurations.

  1. Click on the 'Manage' option on your duplicated review to access the review details

  2. Navigate to the review settings section

  3. Update key settings such as:

    • Review cycle dates

    • Participant groups or criteria

    • Any permissions or visibility settings

    • Deadline dates for each review step

  4. Save your changes before moving to the next section

Editing the review form

The review builder allows you to modify the questions and structure of your review form. Even if you're largely keeping the same format, you may want to refine questions or update examples to keep content fresh.

  1. From the review details page, click into the review builder

  2. Review each section and question in your form

  3. Make any necessary updates to:

    • Question wording

    • Rating scales or options

    • Instructions or guidance text

    • Section headings

  4. Save your changes as you go

Managing email templates

Email templates are duplicated along with your review, but you'll want to update dates, cycle names, and any time-sensitive content to ensure communications are relevant to your new cycle.

  1. Navigate to the email management section from your review details

  2. Review each email template in the sequence

  3. Update content including:

    • Review cycle dates and deadlines

    • References to the current review period

    • Any cycle-specific instructions or context

  4. Save each template after making changes

Using AI to quality check your review

The AI design quality check tool is a powerful feature that can scan your duplicated review and identify content that may need updating for your new cycle. This is particularly useful for catching date references, cycle-specific language, or outdated instructions.

  1. Access the AI design quality check tool from within your review

  2. Run a scan of your review content

  3. Review the AI's suggestions, which might highlight:

    • Old dates that need updating

    • References to previous review cycles

    • Content that may no longer be relevant

  4. Ask the AI specific questions about areas you're unsure about, such as "What dates need updating in this review?"

  5. Make the recommended updates across your review settings, forms, and emails

Final checks before launch

Before you assign participants and launch your new review cycle, take a moment to verify everything is in order.

  1. Confirm all dates are correct throughout settings and email templates

  2. Check that participant groups or criteria are set appropriately

  3. Review your form content one final time

  4. Test the review flow if possible by completing a test submission

  5. Once satisfied, move the review out of draft mode and assign participants
