Scanner App - Processing Multipass Cards

Overview

Use the Scanner App to manage multipass card visits and bonus points. Multipass cards allow customers to pre-purchase multiple visits—you can add purchased visits, redeem used visits, and process bonus point redemptions all from your mobile device.

What you can do:

  • Add prepaid visits to customer cards

  • Redeem visits when services are used

  • Process bonus point redemptions

  • Track visit balances in real-time

  • View customer and card information


Finding customers

Method 1: Scanning

Step 1: Initiate scan

  1. Log in to the Scanner App

  2. Tap the Scan button on the home screen

  3. Your device camera activates

Step 2: Grant camera permission (first time only) If this is your first time using the scanner:

  1. A permission request appears

  2. Tap Allow to grant camera access

  3. Camera activates and is ready to scan

Step 3: Scan customer card

  1. Customer opens their multipass card on their phone

  2. Position your device camera over the QR code

  3. Hold steady until code scans automatically

  4. Customer's card appears on screen

Method 2: Manual search

If scanning isn't possible, search for customers manually.

Step 1: Open search Tap the Search button in the Scanner App.

Step 2: Enter search criteria You can search by:

  • Name: Customer's first or last name

  • Phone number: Full or partial number

  • Email address: Full or partial email

  • Card serial number: Unique card identifier

Step 3: Select customer

  1. Search results appear

  2. Tap the correct customer

  3. Their card displays on screen


Understanding multipass cards

What are visits?

Multipass cards contain prepaid visits that customers purchase in packages:

  • Customer buys visit package (e.g., 10 massage sessions)

  • Visits are added to their card

  • Each service use = 1 visit redeemed

  • Balance decreases with each redemption

Two transaction types

Adding visits: When customer purchases visit package, add visits to their card.

Redeeming visits: When customer uses a service, redeem a visit from their balance.

Bonus points (optional)

Some multipass cards award bonus points when visits are used:

  • Points earned for each visit redeemed

  • Points separate from visit balance

  • Can be redeemed for rewards or discounts

  • Optional feature based on card configuration


Adding visits to multipass cards

When to add visits

Add visits when:

  • Customer purchases a new visit package

  • Customer adds more visits to existing package

  • Promotional visit bonuses awarded

  • Correcting previous errors

Important: Always add visits after the customer has installed the card on their device.

Process

Step 1: Scan customer card Follow scanning or search process above.

Step 2: Set visit count

  1. Customer card displays on screen

  2. Locate the visit counter

  3. Use + button (right side) to increase visit count

  4. Set to number of visits customer purchased

Example:

  • Customer buys 10-visit package

  • Click + button 10 times

  • Or: Type number if direct entry available

  • Counter shows: 10

Step 3: Click Redeem Visits Despite the button name, this processes adding visits when you've increased the counter.

Step 4: Confirm transaction

  1. "Successful Transaction" popup appears

  2. Visits are added to customer card

  3. Customer sees updated visit balance

  4. Tap Done to return to scan screen


Redeeming visits from multipass cards

When to redeem visits

Redeem a visit when:

  • Customer uses a prepaid service

  • Customer attends appointment

  • Visit from package is consumed

  • Service is completed

Process

Step 1: Scan customer card Follow scanning or search process above.

Step 2: Set redemption count

  1. Customer card displays with available visits

  2. Use - button (left side) to decrease visit count

  3. Usually redeem 1 visit per service

  4. Can redeem multiple if customer uses multiple services

Example:

  • Customer has 8 visits remaining

  • Uses 1 massage service

  • Click - button once

  • Counter shows: -1 (indicating 1 visit to redeem)

Step 3: Click Redeem Visits Tap the Redeem Visits button.

Step 4: Confirm transaction

  1. "Successful Transaction" popup appears

  2. Visit is deducted from balance

  3. Customer now has 7 visits remaining

  4. Tap Done to return to scan screen

What happens after redemption

Customer card updates:

  • Available visits decrease

  • Used visits increase

  • Bonus points may be added (if configured)

  • Transaction appears in history

Customer sees:

  • Updated visit balance on their card

  • Remaining visits count

  • Next visit availability


Managing bonus points

Understanding bonus points

If your multipass card is configured to award bonus points:

  • Points earned when visits are redeemed

  • Separate from visit balance

  • Accumulate over time

  • Can be redeemed for rewards

Example:

  • Card awards 10 points per visit used

  • Customer redeems 5 visits

  • Customer earns 50 bonus points

  • Points available for redemption

Checking if points are enabled

Look for Points tab: If your multipass card awards bonus points, you'll see a Points tab in the Scanner App interface.

No Points tab visible: Your multipass card doesn't have bonus points enabled.

Redeeming bonus points

Step 1: Scan customer card Follow scanning or search process above.

Step 2: Access Points tab Tap the Points tab in the Scanner App.

Step 3: Set redemption amount

  1. Current point balance displays

  2. Use +/- buttons to set points to redeem

  3. Cannot exceed available balance

  4. Set amount customer wants to use

Example:

  • Customer has 150 bonus points

  • Wants to redeem 50 points for discount

  • Use - button to set: 50 points

  • 100 points will remain after redemption

Step 4: Click Redeem Points Tap the Redeem Points button.

Step 5: Confirm transaction

  1. Confirmation appears

  2. Points are deducted from balance

  3. Apply discount or reward

  4. Tap Done


Viewing customer information

Information displayed

The Scanner App shows current, real-time customer and card information below the transaction buttons.

Customer information:

  • Name

  • Phone number

  • Email address

  • Installation date

  • Custom fields (if configured)

Multipass card information:

  • Available visits: Visits remaining to use

  • Used visits: Total visits already redeemed

  • Bonus points: Points balance (if enabled)

  • Card installation date: When customer got card

  • Last credit date: Last time visits were added

  • Last redemption date: Last time visit was used

  • Card expiration: If applicable

Note: Exact information displayed may vary based on your card configuration.

Why this matters

Real-time accuracy:

  • Always see current visit balance

  • Know bonus points available

  • Verify customer identity

  • Check card status before processing

Customer service:

  • Tell customer their remaining visits

  • Show bonus points earned

  • Encourage package renewal when low

  • Provide accurate visit tracking


Best practices

Adding visits workflow

When customer purchases:

  1. Process payment

  2. Have customer open their card

  3. Scan their card

  4. Add purchased visits

  5. Confirm transaction

  6. Show customer their new balance

Pro tip: Always add visits immediately after purchase while customer is present.

Redeeming visits workflow

When customer uses service:

  1. Verify customer appointment

  2. Scan customer card

  3. Check visit balance

  4. Redeem 1 visit

  5. Confirm transaction

  6. Thank customer and mention remaining visits

Pro tip: Tell customer: "You have 7 visits remaining!"

Managing low balances

When visits are running low:

  • Alert customer when 2-3 visits remain

  • Offer renewal package before they run out

  • Explain package options

  • Process purchase and add visits immediately

Proactive approach: "You have 2 visits left. Would you like to purchase another package today?"

Bonus points strategy

Encourage accumulation:

  • Tell customers about points earned

  • Explain redemption options

  • Remind of current balance

Troubleshooting

Visit transaction issues

Can't add visits:

  • Verify customer card is installed

  • Check card isn't expired

  • Ensure internet connection

  • Try rescanning card

Can't redeem visits:

  • Check customer has available visits

  • Verify balance isn't zero

  • Ensure card is active

  • Confirm customer identity

Wrong number of visits added:

  • Adjust in customer profile (main dashboard)

  • Or: Add/redeem difference using scanner

Bonus points issues

Points tab not showing:

  • Card may not have points feature enabled

Scenario 2: Using a visit

Customer arrives for appointment:

  1. Check customer in for appointment

  2. Scan customer card

  3. Verify 7 visits available

  4. Redeem 1 visit using - button

  5. Click Redeem Visits

Scenario 3: Topping up visits

Customer has 2 visits left, buys 10 more:

  1. Process payment for new package

  2. Scan customer card

  7. Confirm with customer

Scenario 4: Redeeming bonus points

Customer wants to use 100 bonus points:

  1. Scan customer card

  2. Check points balance (200 points available)

  3. Tap Points tab

  4. Set 100 points using - button

  5. Click Redeem Points

  6. Apply $10 discount (or equivalent reward)

  7. 100 points remain on card

Can I add visits before the customer installs the card? No, always add visits after the customer has installed the card on their device.
