How does Phamily calculate Care Time?

Phamily's time-tracking system is designed to align with the definitions and requirements set by the Centers for Medicare & Medicaid Services (CMS) for Chronic Care Management (CCM) activities and time-tracking. Phamily calculates care time based on three factors:

  1. Attested time (as manually entered notes)

  2. Stopwatch time (from Phamily patient charts)

  3. Standard Activity Adjustment (from Phamily activity)

This simplifies the process of capturing all of your work, allowing you to focus on what truly matters— providing excellent patient care.

What is the Standard Activity Adjustment?

The Standard Activity Adjustment is a conversion factor for assigning reasonable and conservative time-estimates for common care management activities.

The Standard Activity Adjustment logs:

  • 1 minute for each reply you send

  • 30 seconds for each chart update (e.g. entering vitals, updating medications)

  • 15 seconds for each chart access

The adjustment will never exceed 5 minutes per patient per care manager per day.

NOTE: Choosing the correct time period is critical when interpreting care time data. Incorrectly selected calendar periods can lead to apparent discrepancies.

NOTE: These conversion factor values were determined by an analysis of all care management activity on Phamily over a 6 month study period. We further cross-referenced our formula against manually tracked time-logs to ensure reliability.

How do I see the Standard Activity Adjustment?

Automatically tracked time is displayed in the patient's timeline. To view the Standard Activity Adjustment for a given patient on a given day, do the following:

  1. Open the patient's chart in Phamily

  2. Scroll to the day in question on the patient's timeline

  3. Click the ✏️ icon to view auto-tracked details

  4. The Standard Activity Adjustment will be visible at the bottom
