Crop Plan Import reads the rendered pages of a PDF report exported from your current farm management software and brings the records into Phase. It handles both report types in one place:

Phase detects the report type from the document and lets you switch it before importing. It checks each paddock's extracted figures against the report's printed totals and automatically reads a paddock again if the numbers do not reconcile.

More → Planning & Imports → Crop Plan Import. In Crop Plan Studio, Import plan in the panel when no paddocks are selected opens it too; on a phone, it is in the Season sheet from the Studio's top bar.

The page has one header, Crop Plan Import, with a line saying where the import is up to, and the steps under it: Upload, Review, Import and Done. The Actions menu at the top (the ••• on a phone) holds Quick walkthrough.

Step 1 — Open Crop Plan Import and press Upload PDF. From your farm management software, export the crop plan (planned season) or farm performance (season actuals) report as a PDF, with paddock details included.

Step 2 — Stay on the page for a minute or two while Phase renders and reads the report; a bar shows how much is left to read. A five-step walkthrough explains the process on first open, and Actions → Quick walkthrough replays it.

Step 3 — Check whether Phase selected Planned Season or Farm Performance. Switch it if the report was detected incorrectly. Check the season too: Phase starts on your own season for the report's year ("Winter 25" when the report says 2025), not the label printed on the report, and saves into a season you already have under its name exactly as you spelt it.

Step 4 — Wait for the figure checks to finish. Phase compares what it read with the totals printed in the report and automatically reads a mismatched paddock again.

Step 5 — Review paddock matching, then confirm the import only when the paddocks and report type are correct.

The source PDF is filed privately under More → Documents after import.

You can ask your current farm management platform for a CSV export of your farm data (paddocks, crop plans, applications, products and costs). A CSV is much easier for us to import than a PDF. There's no CSV upload in the app, so email it to support@phase.ag and we'll import it for you.

The Easier option: ask for a CSV card under the upload step has an Email us your CSV button that starts the email for you. Attach the CSV yourself before sending. Choosing a CSV or spreadsheet file in the importer shows the same advice.

Paddock matching is the main decision the importer needs from you, under Paddocks: the one thing to check. For each source paddock, open its picker (Choose your paddock…) and:

For a new farm, Add all N as new paddocks creates all unmatched paddocks in one step, and Skip all N leaves them all out. Review the names and areas before continuing.

A paddock whose number or letter differs is never matched or suggested, however close the rest of the name is: "North 1" is not North 10, North 2 or North B, and "Block 7A" is not Block 7B. An exact name still wins, ignoring capitals, spaces and dashes, so "NORTH-1" is North 1. When two of your paddocks fit equally well, such as two farms that each have a North 1, Phase leaves it for you to pick rather than guessing. A slip in the words still matches when the number agrees: "Riversde North 1" is Riverside North 1. Closest of your paddocks under the picker never offers a differently numbered paddock. Plans imported before 4 October 2026 were not moved. If one landed on the wrong paddock, use Undo this import while nothing has touched it, then import again.

Products are a plain list, each with a word saying where it stands. They link automatically by name where possible. Link to a product… on the row picks one of your products or a library product (Change link once linked). The row's ••• menu holds the less common choices: Add as new product, Import by name only and Skip. If a product is not linked, Phase can still import its printed name, rate and cost. You do not need to stop and build the product library just to retain complete plan or history figures.

A product measured in litres, per 100 L or as a %, or one that is sprayed, never links to a seed variety, whatever its name: a "Jaguar" spray at 1 L/ha is not the Jaguar medic seed. If you already have the product under a fuller name, such as "Jaguar (Bromoxynil + Diflufenican)", the import links to yours; otherwise the line imports by its printed name, ready to link, and Link to a product… does not list seeds for it.

Spraying, seeding, spreading, harvest and lease operations can import with their printed rate, cost per hectare and totals. After import, link or tidy any name-only products in Inventory when you want labels, SDS, stock and future matching to connect to them. A seed dressing printed per 100 kg of seed imports as the equivalent per-tonne rate; a product line whose rate unit Phase cannot read is left out and named in the import summary rather than stopping the activity.

Some reports print money to three decimals ("21.515" a hectare), which can be read as 21,515. When a product reads more than $1,000 a hectare, which no input costs, the review shows Costs that look 1,000× too high, just below Products. Each product is listed once, however many paddocks it is on, with the likely figure and the PDF pages to check, for example "Flexi-N reads $21,515/ha on 12 paddocks … $21.52/ha is the likely figure".

Nothing imports until every product listed has an answer. Machinery and contractor lines are not asked about. Lines imported before 30 September 2026 keep their figures until you correct them.

The import button stays at the foot of the screen. If something still blocks the import, a line beside it says how many things to sort out first, for example "2 things to sort out before importing." Pressing Plan N activities on season (or Record N completed activities on season) opens a short check first: how many activities on how many paddocks, which season, how many new paddocks will be created and how many products will import by name only. It also says how long you can undo the import. Press Import a second time to write.

After an import finishes, the receipt offers Undo this import. It removes the activities, product lines, plans, new paddocks and harvest yields that import wrote and nothing else; products it added to your list stay. Undo is offered as long as none of the imported work has been edited, completed, reconciled against John Deere, had stock deducted, or had other work added beside it. As soon as any of that happens the button is replaced by a sentence saying what changed.

You don't lose the undo by leaving the page. Open Crop Plan Import again on the same computer or phone within 7 days and Your last import shows what came in, with Undo last import. Phase fetches the farm's latest records first, and if the import can no longer be undone it says what changed instead ("Undo is no longer available: …"); Hide puts the panel away. The undo is kept on the device the import was made on, for the person who made it, so it isn't offered on another phone or computer. Imports made before 15 October 2026 have no kept undo.

The receipt ends with What next, a few lines worked out from what the import wrote, each with a link to where it happens:

If a paddock imported short of activities (a program that ran onto a page with no paddock title), import the same PDF again: activities already imported are recognised and skipped, and only the missing ones are added. The review screen warns on any paddock that has no printed total.

While a farm is on trial, Phase reads five crop plan or farm performance reports; a long PDF still counts as one report, and a subscription has no limit.

With Planned Season, Phase creates planned crop activities for the detected season. Open Crop Plan Studio and a sample of paddock plans after import to check crops, activities, rates and costs.

With Farm Performance, Phase creates completed season history. Check several paddocks against the source report after import. Imported history does not deduct products from current Inventory.

Leave Crop Plan Import open while it is reading. Reports with scrambled embedded text can still work because Phase reads the visible rendered pages rather than relying on the PDF's text layer.

If a paddock's extracted figures do not match the report's printed total, Phase automatically reads that paddock again. If it still needs attention, compare the paddock name, activity totals and report type before importing. A clearer exported PDF can help when the visible page itself is damaged or incomplete.

If the import fails or doesn't look right, email the PDF to support@phase.ag and we'll process it for you. The same offer appears under a read error, under the read summary and on the receipt, with a link that starts the email.

Compare several paddocks with the PDF, including one with many activities or unusual rates. Check the season, crop, activity names, products, units, rates, costs and totals. Correct any farm records that need attention before relying on reports or inventory demand.
