Publishing a Template and Version Control

Learn how to publish your template, manage version control, and understand version history.

Saving as Draft

While customizing your template, use the "Save as Draft" button to save your template and continue working on it later. Make sure to frequently press the "Save as Draft" button when editing to avoid losing your work in case your browser accidentally closes.

Publishing a Template

When you have customized your template to your requirements, you will need to publish it to make it available for sending forms. Templates can be published at any time using the "Publish" button located at the top right of the template editor.

Version Assignment

When a template is published, it gets assigned a version number automatically, and the published date and time are captured in the system. This helps keep track of different versions of your template.

Viewing Template Versions

To see the version of a template, simply click on the template. This will then show you the current Published Version & Revision Number.

Managing Template Versions

To view all versions of a Template, first click on the template and navigate to the Versions tab.

This tab will show you the current and previous versions of the Template. You can click on a version to view the Template as per how it was setup on that version. Should you wish to restore an old version, click on the required version from this tab, make a change, save the template and click publish.

Important Notes on Version Changes

Changing the published version of a template or publishing a previous version will not affect the version used by any forms that were sent to a respondee before these changes were made. When a template is sent as a form, that version is used and cannot be modified. If an updated template should be used for a form that has already been sent out, please re-send the invitation using the correct template.

Version History

Only published versions and the latest draft version (if "Save as Draft" was selected after the template was published) are retained in the version history. This ensures that you can always access the most recent and relevant versions of your template.
