Managing Sent Forms

Learn how to manage forms after they have been sent, including viewing details, adding notes, and understanding form states.

Viewing Form Details

When a form has been sent, you can view the form request via the Forms section.

The Form Overview screen will show you more details on that specific form request. To access this, click on a specific form and click "Open Submission".

Resending Respondent Link

From this overview, you can copy the respondent link to resend it if the respondents have lost it. This ensures that they can access the form again if needed.

Viewing the Form

You can view the form, which allows you to see the form and responses without editing it. This is useful for reviewing the answers provided by the respondents.

Exporting the Form

At any point, you can export the form in its current state as a PDF. The generation date is retained in the PDF for future reference, ensuring that you have a record of when the form was exported.

Form States

Forms have multiple states:

  • Dispatched: Once you have sent your initial request, the form automatically starts in this state. Respondents are able to edit answers and submit the form once all required answers have been provided.

  • Submitted: Once the respondents have answered all the required questions, they can submit the form for review. When a form is submitted, the user who requested the form will be sent an email alerting them that it is ready for review. No further adjustments can be made until the form is rejected.

  • Rejected: When a user reviews a submitted form, they can either accept or reject the answers. To reject a submission, select "View Form" on the Form Overview, then navigate to the last page and select the "Reject" button. The user will be presented with a confirmation pop-up. The respondent will be notified that the form submission was rejected and needs amendment, and they are able to re-submit.

  • Accepted: When a user reviews a submitted form, they can either accept or reject the answers. To accept a submission, select "View Form" on the Form Overview, then navigate to the last page and select the "Accept" button. The user will be presented with a confirmation pop-up. The respondent will be notified that the form submission was accepted, and both respondents and the requesting user will automatically be sent a PDF copy of the form with answers.

  • Cancelled: The user can cancel a request at any point. The request will still be retained, but no adjustments to answers can be made anymore.

Notes Field

You can also see a notes field, which is an area where you can enter relevant notes about the form. This field is only available internally and is useful for noting anything that might not be captured within the form but is still relevant, such as if a respondent calls you to provide further context on a certain answer they might have provided.
