Custom Fields

Admin users can add various types of custom fields: Text, Rich Text, List, Multi-Select list, Checkbox, date, time, cost, numbers, percentage and Formulas.

Custom Fields

Custom fields may be added by the site’s Admin user by selecting ‘Manage Custom Fields’ from the Site Settings icon.

The Site Settings icon can be found next to the site name at the top of the work list page or from the left-side menu. See the Site Settings article for more information. If you do not see this icon, you are not an Admin user.


Different Types of Custom Fields

1 - Text

This is a free type field, which is useful for those who work with company-specific information that does not easily fit into other categories.

Example: Values (not cost related), project-specific information with no set data

2 - Rich Text

This is similar to the Description field and Comments box where you can add additional formatting the information placed here, such as:

  • making text bold, italicized, underlined, or strikethrough

  • using bullet points or numbering for lists of items or tasks

  • @mention to notify other users on the site

  • linking text to a URL to include links for related points or links to external programs or webpages.

3 - List

A list custom field is useful for creating single- or multi-tiered lists—for example, create a list of locations on your project that you can sort and filter.

Example: Locations (main list, sub-lists); Assigned To; Approved By; Warranty Status

The / character is not supported in a list of custom field entries but may be used in the field name.

Only 1 entry on a List custom field may be selected when adding or editing a point. For example, if there are 3 options: Yes, No, Pending—you may only select one of these options. If you wish to select multiple fields, you can create a Multi-Select custom field.

Large lists in Excel format, such as a list of locations or manufacturers, can be quickly uploaded on the backend by a member of our team.

4 - Multi-Select List

Unlike standard list fields, which only allow one selection, this field lets you choose multiple items from a predefined list when creating or editing a Point.

You can filter by individual selections or multiple at once, and group Points based on each individual selection of items across the Site.

Items can be added or removed at any time, with all changes tracked in Activities.

5 - Checkbox Custom Field

This is a simple checkbox field that quickly denotes visual information. You can sort and filter by this field.

6 - Date Custom Field

A date field is linked to a calendar and can be used to set date-specific information required for your project. If you wish to change the format of date displayed, you can do that from your Profile Settings.

Example: Completed, Due By, Next Service Date

Note: ‘Date Added’ and ‘Date Updated’ are default fields, and they appear automatically in your table.

7 - Time Custom Field

Track times in minutes, hours and days using this field.

Contractors and Crew can enter their time on a task, adding multiple entries until the job is finished.

Each entry will be added to the total time for that point.
You can select if you wish to see the total in the table footer or display hours in hour format or accumulating to days as well.

8 - Cost

Cost fields are available in multiple currencies in the drop down modal.

The total cost of all figures entered for the field will be displayed in the table footer or, if using the grouping functionality, in the group table header.

The custom field also allows you to add Sub-fields. This enhancement enables you to display a total value alongside detailed components that make up that total.

9 - Numbers Custom Fields

This is a simple number field for which a unit of measurement and up to 4 decimal places can be added. Track information such as temperatures or measurements, then sort and filter.
You can choose if you wish to track the total numbers in the table footer.

The custom field also allows you to add Sub-fields. This enhancement enables you to display a total value alongside detailed components that make up that total.

10 - Percentage Custom Fields

Track a percentage of task progress with the percentage custom field using full integers (ex. 25, 50, 75, 100). This will show a quick visual indication of which points may need more attention. You can sort and filter by this field as well.

11 - Formulas Custom Field

The Custom Field Formula allows users to perform calculations using numbers and basic mathematical operators. Users can select either a Standard or Conditional formula and choose an output type such as Cost, Number, or Percentage.

12 - Timeline Custom Field

Our Timeline feature is an additional custom field option that allows Admin users to add start and end dates to points. These dates are then visually displayed in the Timeline with a new icon from the left-side menu. This feature is an optional paid add-on to the normal subscription. And only Account Managers can enable this feature.

Custom Field How To

The number of custom fields that may be added to your sites is unlimited. However, as each site is independent of the others, custom fields must be set up within each site individually.

Import Custom Fields

Like with Tags and Users, Custom Fields can be quickly and easily imported from other sites using the Import tab:

Select the custom field to import using the tick box, then click the 'Import' button.

Search and Filter Custom Fields

Search and filter information in your list using the Search & Filter button from the main list page.

Rearrange Custom Field Order

Admin users can rearrange custom fields in two steps.

Step one: Hover on the custom field you’d like to move; a hand icon will appear, which you can then use to click and hold the field to drag and drop into the preferred position.

Step two: Head back to the work list page, click the Table Columns button and click the Reset Table button. The changes can then be seen in the table. Other users can see the new order when they click the Reset Table button.

Edit and Delete Custom Fields

Admin users can edit custom fields using the blue pencil icon. Fields can be deleted using the red bin icon.

👁️ Show or Hide Custom Fields

If you have access to Site Settings, you are able to toggle the visibility of each custom field in your site.


Clicking the 👁️ eye to either hide or show a field. Open means visible, closed means hidden. Hidden fields won’t appear in Point Cards, Site Tables, Exports, Daily Digests, Notifications, activities, or Reports.


Custom fields linked to active Voly integrations remain visible by default, but previously linked Voly fields can be toggled.

This will apply to all users with the site access. But don't worry - hidden fields retain their data so nothing is lost if when they're shown again.
