How to use Teams in PitchPrfct

Create a team, invite people, share workflows, send credits to teammates, and read team analytics.

Written by Jake Triton

Teams let you bring the people you work with into one shared space in PitchPrfct. With a team you can share workflows, send SMS credits to teammates, and follow everyone's sending in one place.

This guide walks you through everything step by step, from creating your team to reading team analytics.

About the names in this guide: the screenshots were taken in a test account. "Demo User", "Rohit Kumar", the team "Teams Tutorial Test", and the email addresses rohit-sandbox@pitchprfct.com and info+teamsmember@pitchprfct.com are just example names. You will see your own names and emails instead.

Part 1: Create your team

Step 1: Open Teams

  1. Click Settings at the bottom-left of the screen.

If you are not part of a team yet, you will see "You are not in a team yet" and a Create team button.

Step 2: Create the team

  1. Click Create team.

  2. Type a Team name.

  3. If you like, add people right away: type an email address, pick a role (Admin, Manager, or Member; Member is selected by default), and click Add. Repeat for each person.

  4. Click Create team.

Adding people now is optional. You can create the team with no invites and invite people later.

Create a team dialog

The Create a team dialog: team name, optional invites with a role for each person, then Create team.

Step 3: Get to know your team page

Once your team exists, the top of the team page shows:

  • The team switcher (top-left).

  • Your team name with a pencil icon to rename it.

  • A line such as "1 member · Your role: Admin".

  • An Invite members button and a trash icon for deleting the team (top-right).

  • Tabs for Analytics, Members, Invites, and Shared workflows.

A new team's Members tab

A brand-new team. The person who created it is listed as Admin on the Members tab.

Step 4: Switch between teams or create another one

Click the team switcher at the top-left. Under YOUR TEAMS you will see each team you belong to, with your role next to it. Click a team to open it, or click Create team to start a new one.

Team switcher open

The team switcher lists your teams and your role in each, plus a Create team option.

Step 5: Rename your team

Only team Admins can rename a team. Names are required and can be up to 100 characters.

  1. Click the pencil icon next to the team name.

  2. Type the new name.

  3. Click the check mark to save, or the X to cancel.

Part 2: Invite people

Step 6: Open the invite window and choose a role

  1. Click Invite members at the top-right of your team page.

  2. In Email addresses, type the person's email.

  3. Use the role menu next to the email to choose Admin, Manager, or Member. Member is the default.

Step 7: Add people to the list and send

  1. Click Add. The person appears on the list below, and the counter shows how many people are on the list.

  2. Add more people the same way if you need to.

  3. Click Send invite.

Step 8: Keep track of your invitations

Open the Invites tab. Each invitation shows:

  • The email you invited

  • Their role

  • The status (for example, Waiting while you wait for them to accept)

  • Who invited them

  • When it expires (invitations expire 7 days after they're sent). An expired invitation still blocks a new invite to the same email until you cancel it.

A pending invitation: role Member, status Waiting, invited by Demo User, expires in 7 days.

Step 9: Send an invite again or cancel it

Click the three-dot menu at the end of an invitation row. You can:

  • Send again to resend the invitation email.

  • Cancel invite to withdraw it.

Step 10: Copy an invite link

Want to share the invitation yourself, for example in a chat message? Next to the three-dot menu on an invitation row there is a copy icon. Click it to copy that person's invite link.

The link only works for the person invited: they must sign in (or sign up) with the exact email address you invited.

Copy invite link icon on an invitation row

The copy icon on the invitation row copies the invite link for that person.

Part 3: Join a team as an invited teammate

This part is for the person you invited. Share it with your teammates.

Step 11: Accept from the invitation email

The invitation comes from noreply@pitchprfct.com with the subject "[inviter's email] invited you to join [team name]". The email shows:

  • Which team you are invited to and who invited you

  • Your role

  • What team members can do: share workflows with the team, transfer credits between team members, collaborate on campaigns, and access shared team resources

Click the orange Accept Invitation button. If the button does not work, copy the link shown below it into your browser.

Keep in mind:

  • The invitation expires in 7 days.

  • Don't have a PitchPrfct account? Click Accept Invitation and sign up with the invited email address. You'll join the team automatically when registration finishes.

Step 12: Or accept right inside PitchPrfct

If you already have a PitchPrfct account, you can also accept in the app:

  1. Open Settings > Teams. A banner at the top says "Team invitation from ..." with the team name and your role. The bell icon at the top-right also shows a notification.

  2. Click Accept (or Decline if you don't want to join).

  3. In the dialog, choose which of your own accounts should join the team, then click Accept. Only accounts you personally own can join.

Step 13: See your team as a Member

After you accept, you will see "Invitation accepted" and your team page opens. The header shows the number of members and your role, for example "2 members · Your role: Member".

As a Member you see two tabs: Members and Shared workflows. You also have a Leave team button at the top-right.

What a Member sees: the Members and Shared workflows tabs and a Leave team button.

Step 14: Share your workflows with the team

Members can share workflows too. Open the Shared workflows tab and click Share workflows. Everyone on the team can preview a shared workflow and copy it into their own library. (See Part 5 for how the picker works.)

Members can share workflows from the Shared workflows tab.

Step 15: Check your credit transfer history

When a teammate sends you credits, you can see it in your credit history:

  1. Open Settings > SMS Credits.

  2. Click Transfer history.

The Credit Transfer History window shows credits received, credits sent, and referral credits, with a filter for transfer types.

Settings > SMS Credits > Transfer history shows the credits you have received and sent.

Part 4: Manage your team members

These steps are for team Admins and Managers. Managers can't change or remove an Admin.

Step 16: Open the Members tab

The Members tab lists everyone on the team with their email, role, and the date they joined. Use Search members to find someone quickly.

Step 17: Use the member Actions menu

Click the three-dot menu at the end of a member's row. You will see:

Step 18: Change someone's role

  1. Choose Manage member from the Actions menu.

  2. Open the Role menu and pick Admin, Manager, or Member. The current role has a check mark.

  3. Save your change.

Tip: Make admin and Make manager in the Actions menu are quick shortcuts for the same thing.

Step 19: Send credits to a teammate

Any team member can send credits to another member. Enter a whole number no larger than your balance.

  1. Choose Send credits from the member's Actions menu.

  2. Enter the Amount. The window shows how many credits you have.

  3. Add a Note if you like (optional, up to 500 characters).

  4. Click Send credits.

The credits leave your balance right away and land on your teammate's account.

Step 20: Delete a team

Admins: click the trash icon at the top-right of the team page and confirm. Deletion is permanent: members, pending invitations, shared workflows and the team's credit-transfer history are removed. Members' own accounts, workflows and credits aren't affected.

Part 5: Share workflows with your team

Step 21: Open the Shared workflows tab

Open the Shared workflows tab. If nothing has been shared yet, you will see "No shared workflows yet". Click Share workflows.

Shared workflows tab with nothing shared yet

The empty Shared workflows tab. Click Share workflows to share your first one.

Step 22: Pick the workflows to share

  1. In the picker, tick the workflows you want to share. Use the search box to find one, or Select all to pick them all.

  2. Click Share workflow.

Team members can look at a shared workflow and copy it to their own list. When you copy, you can give the copy a new name (up to 100 characters) and description (up to 500 characters). Copying the same shared workflow again opens your existing copy instead of making a duplicate.

Share workflows picker

Tick one or more workflows, then click Share workflow.

Step 23: See what's been shared

Your shared workflows now appear in the list, with who shared each one and when. The top of the list shows how many workflows are shared and how many copies have been made so far. You can search the list and sort it.

Part 6: Team analytics

The Analytics tab shows how your team is sending. Admins and Managers can see the Analytics tab; Members cannot.

Step 24: Read the overview

At the top you will find five summary cards:

  • Messages Sent

  • Messages Delivered (with the delivery rate)

  • Messages Received (with the response rate)

  • Undelivered

  • Failed (credits are not charged for failed messages)

Below the cards, the Overview view shows a Message trends chart. Use the toggles to show or hide Sent, Delivered, Received, Undelivered, Failed, and Opt-Outs.

  2. Tick one person, or several to see their numbers together. You can search by name or email, or use Clear all.

  3. Click View analytics.

Choose whose numbers you want to see, then click View analytics.

Step 27: Look at undelivered messages

Click Undelivered details (next to Overview) to see the messages that were not delivered in the selected period. If there are none, you will see "No undelivered messages in this period".

FAQ

An invitation expired. What do I do?
Invitations expire after 7 days. Cancel the expired invitation from the Invites tab (three-dot menu, Cancel invite), then invite the person again.

The person I invited doesn't have a PitchPrfct account. Can they still join?
Yes. They click the link in the email and sign up with that same email address; they're added to the team automatically.

I didn't get the email. Can I still join?
If you already have a PitchPrfct account, open Settings > Teams. Your invitation appears as a banner at the top with an Accept button. Your team Admin or Manager can also click Send again, or copy the invite link and send it to you. The link only works when you sign in with the email address that was invited.

How do I leave a team?
Open your team page in Settings > Teams and click Leave team at the top-right. If you're the team's only Admin, make someone else Admin first.

Where can I see credits a teammate sent me?
Go to Settings > SMS Credits and click Transfer history.

How do I switch between teams?
Click the team switcher at the top-left of the team page. It lists your teams under YOUR TEAMS, with your role in each one. Click a team to open it.
