How to create a hotel reservation in PIE CRM for GTC users

Adding a Hotel to Your Trip

From your trip's itinerary page, you can add a hotel by either dragging and dropping or clicking the + circle to see all available services.

Step 1: Select the Hotel service

Click "+ ADD" on the day you want to add your hotel, then select Hotel from the list of services.

Step 2: Find your hotel

A pop-up will appear. Type the name of your hotel in the search field and choose from the results provided. PlanitEasy will pull in photos and location info automatically.

Step 3: Fill out the Details section

Once you select a hotel, the reservation form opens. Fill in:

  • Check-out date (required) — check-in date is set from the day you selected

  • Room type — e.g., Deluxe, Standard, Suite

  • Description (optional) — add hotel details, amenities, or special notes for your client

  • Rooms Important Information — internal notes (only visible to advisors, NOT shown on client itinerary)

  • Room Description — client-facing description (shown on the itinerary)

💡 Tip: You can add YouTube video links using the video icon for virtual walkthroughs of the hotel.

Step 4: Fill out the Price Details section

Enter the nightly rate, total cost, or per-person pricing. You can also add room types with individual pricing if your clients have different room categories.

Step 5: Press "Add" to save

Click Add at the bottom. The reservation will close and you'll see it on your itinerary. You can reopen it anytime to edit.

Common Questions

Q: What's the difference between "Rooms Important Information" and "Room Description"?

A: "Rooms Important Information" is internal only — your clients won't see it. Use it for supplier confirmations, booking refs, or notes to yourself. "Room Description" is client-facing and appears on the itinerary.

Q: The hotel I need isn't showing in search results.

A: Try searching with a shorter name or the city. If it still doesn't appear, you can add a custom supplier — see Adding a DMC/custom supplier.

Q: Can I hide check-in/check-out times from the client?
