Managing Permissions for Users
PlanitEasy lets you control exactly what each team member can see and do. Whether you run a large agency or have a few ICs (Independent Contractors), understanding permissions helps you protect sensitive data and give your team the access they need.
Accessing Permission Settings
Click your logo/icon in the top-right corner
Select My Account
Click on the Users tab on the table of contents on the left
Click on the action wheel next to the user's name in the Users page
You'll see their permission toggles
User Roles
PlanitEasy has several user role levels:
Master Admin — full access to everything: all trips, all profiles, all settings, billing, and permissions. Usually the agency owner.
Admin — can manage users, settings, and see all data, but cannot change billing or master admin settings
Advisor / Lead Advisor — can create and manage their own trips and profiles. Lead Advisors may have additional access to team members' data.
IC (Independent Contractor) — typically has access only to their own trips and clients. Cannot see other advisors' data unless specifically permitted.
Key Permission Toggles
When editing a user's permissions, you'll see toggles for:
View All Trips — can they see trips belonging to other advisors?
View All Profiles — can they see all client profiles or only their own?
View Credit Card Info — can they see full credit card details from CC authorization forms?
Edit Reservations — can they modify reservations on trips?
View Sales/Revenue — can they see financial data and commission reports?
Manage Users — can they add/remove team members?
Manage Settings — can they change account-level settings?
Credit Card Permission (Common Issue)
One of the most common permission-related questions is: "Access Restricted! You do not have permission to View Client Credit Card!"
This happens when a user tries to view credit card authorization form details but their View Credit Card Info permission is turned off. To fix:
Have the Master Admin go to the user's permission settings
Toggle ON the View Credit Card Info permission
Save — the user can now view CC details
⚠️ Security note: Only enable credit card viewing for users who actually need it. This permission shows the full 16-digit card number.
IC vs Advisor Permissions
The main difference:
Advisors (employees) typically see all company data and share resources
ICs (independent contractors) typically see only their own data — their trips, their clients, their invoices
This keeps IC business separate from the agency's data while still allowing them to use the platform.
Collaborator Permissions on Trips
When you add a collaborator to a specific trip, they get access to that trip only. Their role on the trip (Collaborator, Organizer, or Client Advisor) determines what they can do:
Collaborator — view only
Organizer — can edit reservations and content
Client Advisor — listed as the advisor for the client
Troubleshooting
"Access Restricted" error? The user is trying to access something their role doesn't allow. Check their permission settings.
Can't see other advisors' trips? The "View All Trips" toggle needs to be ON.
IC can see agency data they shouldn't? Review their role and make sure they're set as IC, not Advisor.
Only the Master Admin can change permissions. If you can't access the permissions page, contact your Master Admin.
