How to send your client a profile update form

Profile Update Form

The Profile Update Form lets you send clients a pre-populated form so they can update their own information. Whatever they change syncs directly to their profile in your CRM — no manual entry needed.

Why Use It?

  • Pre-populated — the form already has their existing info, they just update what's changed

  • Skips authentication — unlike other forms, it bypasses the email verification step

  • Auto-syncs — when they submit, their profile updates automatically in your CRM

Option 1: Send from the Profiles Page

  1. Go to Profiles on the left sidebar

  2. Check the box next to one or more traveler names

  3. Click Send Profile Update Form at the top

  4. Select which form template to send, then click Send

💡 You can select multiple travelers and send to all of them at once.

Option 2: Send from Inside a Profile

  1. Open the client's profile

  2. Click Actions on the right side

  3. Select Send Profile Update Form

  4. Choose the form and click Send

Option 3: Send from a Trip

  1. Open a trip → Planner page

  2. In the left sidebar under Travelers, hover over a name

  3. Click the action wheelSend Form → select the Profile Update Form

What Happens After They Submit?

Their profile in your CRM updates automatically. You'll see the submitted form in the Received Forms tab of the trip (if sent from a trip) and in the client's profile under Forms.

Choosing Which Form to Send

The dropdown shows all your Travelers Information Form templates. If you have multiple (e.g., "Basic Form" with just name/email/phone and "Detailed Form" with preferences and travel docs), pick the one that matches what you need.

Troubleshooting

Client didn't receive it?

  • Check the email address in their profile is correct

  • Have them check spam/junk — if they find it, mark as "Not Spam" and future emails will go to inbox

  • Verify the email was sent by checking the envelope icon → Sent tab

Form created a duplicate profile?

If the client used a different email to submit, a new profile may have been created. Use Merge Duplicate Profiles to combine them.

IC sent a form but can't see the response?

If an admin sent the form on behalf of an IC, the response comes back to the admin. ICs should send their own forms so responses are connected to their account.
