Step by Step: Creating a Trip with Booking Options

How to send a proposal with different reservation booking options. Good for individual and group registrations and bookings.

STARTING

Step 1: In the top left corner of your page, click the red button "Create" from your dashboard and select the 'Trip' option from the pop up that will appear,

NAME YOUR TRIP

Step 2: You will then be asked to pick between Individual or Group. Once you choose one of the two options, you will be directed to the next page so you can add the 'Trip Name' and your 'Destination'.

Step 3: Add dates of travel (if required).

SAVE YOUR WORK

Step 4: Proceed to press 'Save' at the bottom and the system will reroute you to your trips 'Planner' page.

IMPORTANT: Once you are at your 'Planner' page, please adjust your settings from 'LIST VIEW' to 'TAB VIEW' as shown in the screenshot below.

Step 5: Click the 'Reservations' tab as shown below. The below screenshot is showing you the 'TAB VIEW' version as listed if you followed 'step 4' above.

Step 6: Click on the '+Add' button which is located all the way to the right of the skinny tab labeled 'Day 1".

Select any type of Reservation type you wish to offer.

*Note* If you are wanting to offer various cabin types from a cruise in our booking flow, you must create one 'package reservation' for each type of cabin you are offering and name it as such ex. Deluxe cabin with balcony. Choose the package service in the drop down list as shown in the screenshot below.

Step 7: Title your reservation as you want it to appear to your clients and click on the '+ Add more' in the bottom right corner.

Step 8: Your reservation page will open and you will be in the 'Proposal' tab.

Add a description of your reservation in the 'Description' section. This is optional but very important as it shows content to your travelers so that they may make an informed decision.

You can also copy/paste text and for images, you can right click on any image from any source, select 'copy image' and then select 'paste' and the image will appear and allow you to resize it as well.

ADDING THE PRICE OF YOUR OPTION

Step 9: While still in the same 'proposal' tab, scroll down and click on the 'Price Type' drop down box and select if it is a 'Total or Per Person Price' from the drop down list.

Then you can add the price of your option in the 'Base Price' field as shown below.

ADDING THE CAPACITY/AMOUNT OF EACH OPTION

Step 10: Click on 'Travelers' tab at the top and in the 'Capacity' field, add how many of this reservation options you want to provide. This is an important field to fill in because otherwise your travelers cannot book or choose anything with you.

ADDING A DEPOSIT RULE (OPTIONAL)

Step 11: Click into 'Deadlines & Terms' tab to add your deposit rule if you want to accept a deposit. Fill in TWO FIELDS ONLY. 1. DEPOSIT (YES OR NO) 2. DEPOSIT AMOUNT Don't forget to press save at the bottom.

FINISH UP MAKING ALL YOUR RESERVATION OPTIONS

Step 13: Proceed to make your other reservation options including whatever you want to consider as an 'add-on' reservation like transfers or travel insurance. Add-on reservations are made in the exact same way as the other reservations and should be done under that service. If you are making a transfer option, then pick transfer service type etc.

CREATING YOUR BOOKING FLOW/REGISTRATION RULES

Step 14: Click to view your itinerary. It is located on the left directly under the pink writing 'add new itinerary'. Once your itinerary page opens, turn on the proposal button and click on 'settings' as shown below.

Step 15: A pop up window will appear, select 'proposal flow with options' which will be highlighted with a green button at the top.

ARE YOU SHOWING PRICES FOR YOUR OPTIONS OR NOT?

Step 16: Select the following: If you want your prices to be shown and take payment OR prices to be shown and payment is not required OR no prices shown and no payment required.

WHAT IS GOING TO BE AN OPTION AND WHAT IS GOING TO BE AN ADD-ON

Step 17: Under 'options', select which reservations will be your options and what you want as 'add-ons'. Also make sure you uncheck the 'Create Separate Reservation' boxes unless you would like additional reservation to be created.

Step 18: Select any form or forms to be filled out while your traveler is picking their reservation options (optional). ex. Insurance Waiver, Special Booking Rules for this trip

NOTE: If you add your credit card authorization form here, your clients WILL NOT have an automatic invoice created for them. We recommend that you do not add a credit card authorization form here. You can add it in the payments section shown in the next step.

PAYMENT/DEPOSIT RULES

Step 19: If you want a payment page to be shown in your booking/registration flow, then check mark the box 'Include the Payment page' as shown below.

CHOOSING YOUR PAYMENT METHODS

Step 20: Select which payment option(s) you are providing to your clients in the booking/registration flow.

Each method you choose will present a box in the payment page as shown in the screenshot below.

NOTE: If you want these payment methods to show content in their boxes, then you have to add that content in your 'payment information' tab.

CREDIT CARD PAYMENT METHOD EXPLAINED

When selecting the Credit Card method as payment for your clients to follow, you are presented with the Stripe connect and Credit Card authorization form options.

Which ever of the two you select, you have to tell our platform whether you want to charge the price you added in your reservations (which are your reservation options in the booking flow) or if you want to charge a planning fee with this method.

NOTE: You can choose both methods if you want. Stripe can be used to collect your planning fee and the credit card authorization form can be used to collect the card numbers so that you can give it to your suppliers to charge.

DEPOSIT RULE & PAYMENT AMOUNT OPTIONS EXPLAINED

Step 21: If you have added a deposit amount when making your reservation option (Step 11 in this article), then by selecting 'Deposit from reservations', our system will read that amount and present it to your client as an option.

PAYMENT AMOUNT OPTIONS:

Choose one or both amount options as shown in the above screenshot.

Options: Pay deposit only and/or full amount of your reservation options.

LAST DATE TO BOOK

Step 22: Here you must add dates for the last date your clients can book and the final payment due date. (These are mandatory fields)

FINISHING UP

Step 23: Once you have completed booking flow rules, press save at the bottom. You can then scroll down and look at your itinerary. Use the green buttons on the left to customize how it will look.

Tip: You may have added a description when you made your reservations. These descriptions will show when your clients are choosing their reservation options. For that reason, showing the descriptions in the itinerary as well may be overkill. You can hide them by turning them off with the green buttons.

Once your clients choose their options & complete the booking flow, you can then turn off the proposal booking flow button and turn on what they chose (green buttons on the client itinerary page) so that their itinerary reflects their choice.

Copy your link via the 'Share' button at the top, and paste it in a new tab so you can see what your client will see. Try going through the booking flow yourself so you may be able to guide them if they ask you any questions.
