The Setttings > Manage Rooms section lets you make certain modifications to the way rooms appear on Planniac.
The actual room names are created in Cloudbeds and cannot be modified on Planniac. If a room is missing from this list, check Cloudbeds to be sure it appears. Remember on Cloudbeds that a single Room Type may have multiple Rooms. Planniac uses the Rooms, not the Room Type.
Here are the things you can change or include on Manage Rooms settings.
Room Nickname
If your room names are very long, you may prefer a shortened version on Planniac. Adding nicknames will not affect Cloudbeds. Make sure to properly match the Cloudbeds Name and Nickname.
It’s also possible that you need Nicknames to help housekeeping or other staff. Nicknames might be easier to remember.
The Nickname will also show up on the guest itinerary. For that reason it is good to use the name the way it is presented to the guest.
Use whatever will be clear to your staff and guests.
We recommend limiting the Nickname to 12 characters or less so that it fits on reports.
TV App Display Name
If you use the Planniac in-room TV module, you’ll have the opportunity to create another type of nickname which can be a little longer. 20 characters is the recommended maximum.
In addition to including the IP address, the TV App Display Name must exactly match the name assigned to the TV / streaming device.
Beds
Cloudbeds does not show how many beds are in a room. However, it can be useful to know how many beds are in any given room. For example, the Housekeeping Report will indicate the number of beds in a room. Your local tax authority may also want to know the number of beds in a room. This is a good place to store that information.
Simply select the number of beds with the drop-down list.
If your hotel provides extra beds upon request, the number of beds for a reservation can be changed on the GUESTS tab. This would be a one-time change.
You have the option to upload an Evacuation Map for each room.
The format for the map should be .jpg or .png.
In Planniac, the in-room TV module is the only place an evacuation map would be used. However, you may find it a handy place to store these maps for quick reference in case you need them for reference or printouts.
Some hotels have multiple property types that are registered separately with the government. For example, your resort may have units belonging to third-party owners. If for registration and reporting purposes you need to be able to identify these properties separately, you can add them in the “Property” column of the Room Setup screen. If all your rooms are within the same property, then simply duplicate the property name for each room.
Your government hotel license info can be added to this column of Room Setup. If your property types have been issued separate licenses, you can add those here.
This information will be used on the Guest Registration form, so it’s important that each room has the correct corresponding license. For that reason you should include the license number for each room, even if they all fall under the same license.
If you are using the optional Planniac in-room TV module, then you will need to assign an IP address to each room.
This would be the IP address of one of the following:
1. Firestick device
2. Google Chromecast device
3. Google TV
4. Fire TV
