Meal Plans are defined in these settings.

These are then used on the Guests screen to select the package a guest has. On the Guests screen there is also an option to print a business-card-size voucher that the guest can show to the restaurant or other operator providing services in the package. If you are using the guest itineraries feature of Planniac, your guests will also be able to open their itineraries to review the meal plan or show your restaurant staff.

Managing meal plans/packages

"Room Only" is the default plan. Your account comes with a few other packages that are set up to show you some different possibilities.

You can create additional plans and deactivate the sample plans provided with your account.

Note: In this context, "packages" refers to meal packages. This shouldn't be confused with activity packages that are managed in Resources.

Tick boxes

The "Active" tick box will be checked by default. If you un-tick it and save, the meal plan will no longer show on the list. If you want to see it again, toggle the button on the top of the screen that says "Show Inactive."

The "Show on Itinerary" tick box allows you to choose whether you show or hide the meal plan from a guest's itinerary. For example, you may wish to not use meal plans or to leave the "Room Only" plan off the itinerary.

Meal plan name

The meal plan name is what you call it for the guest. It could be a name like "Room Only" or "Standard Plan" if the room does not include any meals. You could also have a "Breakfast Plan" or "Full Board" or "Unlimited" plan. You can type any name you'd like.

Short name

The short name is used on a few Planniac reports. If you don't add a short name, the full name will be used but if it's a long name it may not display properly.

Times

Define a Start Time, End Time, and Grace Time for each meal plan. The Grace Time will allow the plan to show a certain number of minutes before and after the validity period.

Color code

The color code can be unique for each plan, to make it easy for Front Desk and Restaurant staff to distinguish between plans. Set it by clicking on the color box and selecting a new color.

On the Guests screen, you have the option to print a business-card sized meal card. This can be trimmed and folded to have a front and back. (Some resorts will laminate them with business card laminating pouches). The text you include on the front of the card will appear along with the guest's name, dates of stay and meal plan name.

This text is limited to 6 lines of text with up to 50 characters per line

You may choose to use the back of the card for

  • additional meal plan information

  • additional inclusions (such as free bicycles or pool towels)

  • Upselling content

Note before active on check-in day

The guest will see this note on the mobile itinerary. You can use it to remind them that the plan is only activated upon check-in.

Note once plan is active

This note should confirm to the guest (and/or staff who may see the itinerary) that the plan is active.

Note prior to check-in day

This informs the guest that the plan will be active on check-in day.

Internal note (not seen by guest)

This will only appear on the restaurant mobile report. It gives staff a way to look up a guest's meal plan in case they do not have the printed card or mobile itinerary on hand.

Meal Plans are different than Pack Meals.

Meal Plans

This means things like "Breakfast Included" or "Half Board" or "Full Board" or "All Inclusive." This article covers that.

Pack Meals are food that's provided along with another activity that you need to organize. For example, "Tour Lunch" or "Picnic Basket".
