After adding a Resource, you are ready to add specific activities.
Under the “+” dropdown, you’ll see three options.
Add Tour/Activity. Use this when it is a unique item that you don't want to group under something else. For example, if there is only one Art Museum Guided Tour and there are no significant options for how the tour is structured, then use this type of activity.
Add Parent Activity. If you have multiple options that will fall under one activity, use “Parent Activity.” For example, if you arrange scooter rentals, in which case it will have Child Activities such as “Scooter Rental: 2 hours” or “Scooter Rental: Full Day”.
Create a new activity in Resources
Once you have selected the proper type, you will go through a few steps to create an activity that can be selected and planned for a guest. This is how you would add a new tour, transfer, spa service, event, rental, or anything else.
You don’t have to create a new activity for each resource offers that the service. For example, if you have five preferred dive shops and they all offer snorkeling and 2-tank dives to both ABC Island and XYZ Reef, you can set up a parent activity called Snorkeling, with child activities called Snorkeling: ABC Island and Snorkeling: XYZ Reef, and you can set up a parent activity called Diving, with child activities called Diving: ABC Island 2-tank and Diving: XYZ Reef 2-tank. Then, you simply link each supplier that offers those tours.
It would be helpful to make yourself a spreadsheet or flowchart before you get started, so you can plan how best to create the activities to make it easy for your staff to schedule them.
Add a parent activity
This should be used where a single description can be used to cover a multitude of offerings from different resources. A good example of this is Snorkeling where there are multiple dive shops that offer this and there are multiple locations that they all take their tours to. The Parent Activity would be Snorkeling and under that, all of the Child Activity items would be created.
Booking a parent/child activity for a guest
If a Parent Tour is selected when creating a new activity for a guest, the following window will pop up allowing the choice of any of the snorkeling trips from all of the different resources.
This type of activity setup is also suitable for spa service offerings, even if only using your own in-house spa, as treatments can be categorized by type (eg. Massage, Facial, etc) and each of the different types of these treatments can be added as Child Activities.
Creating a "regular" (non parent-child) activity
Some tours may not fit into a specific category / tour type and so are created as this type. In this case, simply skip the Activity Parent selection (No Parent).
Same activity, additional resource that offers it
If another resource is offering this same activity, they can be added to the list either through this window.
Operators offering this particular activity can be deleted by clicking on the trash can beside the activity name. This only deletes the activity for the one supplier.
Pricing the activity
Getting your pricing right is key. Planniac has lots of reports and functionality that will work best when you set up your pricing accordingly.
Set up your pricing model. Determine whether to price an activity per-person, per-room, or per-item. Per-person is the most common and is the default.
Priced per person
This is the default setting. The most simple pricing will be as follows:Priced per-person with base price including X number of people.
For example, this might be a transfer for 1-4 persons at $200 with additional adults costing $50 each and additional children costing $25.
Priced per-room or per-item.
When priced per room or per-item, use the "Per group price" column.
