How to set the prices for the activities you offer

Understanding the activity pricing matrix

In Resources, you control the price that a guest will pay for various activities or services. This is done by simply typing in the relevant prices after you've created the item. The matrix looks like this:

Each column will affect the price guests may pay.

  • Zero Price. When this is ticked, it means this activity or task does not incur any charges.

  • Per-Group Price. This is where you include a price if it is based on the group. For example, as in the first line on the matrix above, a private snorkeling charter may have a group price of $400 with 6 people included and a maximum of 10. Adults 7-10 would be charged at $125 each and children would be charged at $50 each.

  • Per-Person Price. Use this when you charge for the individuals participating.

  • Other Fees. Sometimes there are additional fees outside the group or per-person price, such as park fees or equipment rental. Other fees are always billed per-person.

  • Extras. Extras give you one more place to break out add-ons. An example of this would be an add-on to the standard price of a tour that would be just charged once for the group. For example, a bicycle rental with a child's seat as an extra.

  • Reason for Extras. This lets you type in a reason, such as "Child's Seat".

In addition to the simple pricing table shown above, you also have pricing controls on the activity setup itself. It is extremely important to set these up thoroughly for pricing to be calculated properly.

Adding pricing logic to your activities

When adding or editing an activity, you'll see options for how the activity should be priced.

Choose "Sold on per-person basis" for most activities, including tours, transfers, spa services, and events.

Choose "Sold on per-room basis" for things like special be setup, room decoration, or an early check-in.


Choose "Sold on per-item basis" when someone can request how many items they need, such as stocking (x number of) beer in the fridge on arrival, choosing how many bicycles they want to rent, etc.

Choose "Sold on daily basis" for rental vehicles (if you want to allow multiple days of that activity on one booking). Don't select this if you have a fixed price for a duration like "2-hour rental" or "1-week rental."

With some activities, you'll need to choose between the sold-on setting. For example, if you provide guest laundry service, that could be sold on a per-room or per-item basis, depending on your pricing. Another example would be a 4-hour kayak rental, where you would choose between per-guest and per-item.

Activities with multiple Resources

Sometimes, an activity is offered by more than one Resource. You'll be able to add pricing for each Resource. For example here:

Note: Tasks (vs Activities) can also have prices. For example, Housekeeping might be assigned a task of putting a bottle of champagne in the room. You could choose to use Planniac to track that charge to be sure it's recorded, whether that is

  • directly billed to the guest folio on Cloudbeds, or

  • marked as charged with one of your other custom payment methods like "Included in Package" or "Cash" or "Billed on restaurant POS"
