How to add new users

As an Administrator in Players Health Protect, you can invite new users to your organization to complete compliance requirements or to manage other users.

To invite a new user, navigate to the "Users" tab.

On the top-right of the screen, click the "Invite User" button.
To invite a user, enter their full name, email, and choose their role.

Roles Explained:


National Association Admin - can see all incident reports and compliance for every user across all organizations/schools and clubs/sports under their association (includes uploaded training documents, background check reports, and flagged statuses)

National Association Admin (read-only) - can see compliance for every user across all organizations/schools and clubs/sports under their association, but does not have access to incident reports, background check reports, or flagged statuses

Sports Organization Admin - can see all incident reports and compliance for every user across all clubs/sports under their organization (includes uploaded training documents, background check reports, and flagged statuses)

Sports Organization Admin (read-only) - can see compliance for every user across all clubs/sports under their organization, but does not have access to incident reports, background check reports, or flagged statuses

Club Admin - can see all incident reports and compliance for every user within their club/sport (includes uploaded training documents, background check reports, and flagged statuses)

Club Admin (read-only) - can see compliance for every user within their club/sport, but does not have access to incident reports, background check reports, or flagged statuses

Coach - can be assigned any requirement available through the platform, including signing waivers and consent forms, or completing any of the following: background check, abuse awareness training, concussion training, state/province mandated training

  • will only have access to his/her/their assigned tasks and the results of each

  • minors should not be assigned a background check

Referee - can be assigned any requirement available through the platform, including signing waivers and consent forms, or completing any of the following: background check, abuse awareness training, concussion training, state/province mandated training

  • will only have access to his/her/their assigned tasks and the results of each

  • minors should not be assigned a background check

Volunteer - can be assigned any requirement available through the platform, including signing waivers and consent forms, or completing any of the following: background check, abuse awareness training, concussion training, state/province mandated training

  • will only have access to his/her/their assigned tasks and the results of each

  • minors should not be assigned a background check

Guardian - can be assigned any requirement available through the platform, including signing waivers and consent forms, or completing any of the following: background check, abuse awareness training, concussion training, state/province mandated training

  • will only have access to his/her/their assigned tasks and the results of each

Athlete - can be assigned any requirement available through the platform, including signing waivers and consent forms, or completing any of the following: background check, abuse awareness training, concussion training, state/province mandated training

  • will only have access to his/her/their assigned tasks and the results of each

  • minors should not be assigned a background check

Staff Member - can be assigned any requirement available through the platform, including signing waivers and consent forms, or completing any of the following: background check, abuse awareness training, concussion training, state/province mandated training

  • will only have access to his/her/their assigned tasks and the results of each
