Create professional impact reports about your grant programme in minutes. The AI Impact Report Writer analyses your grant data, identifies compelling stories, and generates a beautifully designed report — all with minimal effort from you.

Why Use the AI Impact Report Writer?

  • Save hours of work — Turn weeks of report writing into minutes

  • Data-driven insights — AI analyses all your grants to find meaningful patterns

  • Professional design — Get publication-ready reports with charts and visuals

  • Real case studies — Automatically identifies and writes up compelling grantee stories

  • Iterate with AI — Refine your report through conversation

Accessing the Impact Report Writer

  1. Go to your fund

  2. Click Manage & Monitor in the top right

  3. Select the Summary tab

  4. You'll see the Impact Report Writer interface

How It Works: Four Phases

Phase 1: Configure Your Report

Start by telling the AI what kind of report you want:

  • Page Title — What to call your report

  • Page Focus — Guide the report's emphasis (e.g., "Focus on beneficiary stories" or "Emphasise geographic distribution")

  • Font Selection — Choose a font family for your report

  • Style Guidelines — Any specific styling preferences

  • Output Format — Interactive web version or PDF export

Phase 2: AI Research

Click Generate and the AI gets to work. During this phase, it:

  • Analyses all your grant applications and their responses

  • Reviews monitoring reports from grantees

  • Examines payment and disbursement data

  • Calculates key metrics (total awarded, disbursed, average grant size, beneficiaries reached)

  • Identifies 3-5 compelling case studies from your grants

  • Finds patterns and insights across your portfolio

You'll see research insights appear as the AI works through your data.

Phase 3: Report Generation

The AI creates a complete visual report including:

  • Hero section — Fund name and headline statistics

  • Data visualisations — Charts showing grant distribution, themes, and outcomes

  • Geographic maps — Where your grants went

  • Narrative sections — Written analysis of your impact

  • Case studies — Real stories from your grantees with outcomes and beneficiary information

  • Statistics cards — Key metrics displayed prominently

Watch the report build in real-time as the AI generates each section.

Phase 4: Refine Through Conversation

Not quite right? Use the chat interface to refine your report:

  • "Make the hero section more prominent"

  • "Add another case study focusing on youth programmes"

  • "Change the chart colours to match our brand"

  • "Move the geographic section higher up"

  • "Add more detail about the environmental projects"

The AI modifies your report in real-time based on your feedback. You can also upload additional files for context.

What Your Report Includes

Automatic Metrics

The AI calculates and displays key statistics:

  • Total amount awarded

  • Total amount disbursed

  • Number of grants made

  • Average grant size

  • Number of beneficiaries reached (if tracked)

  • Geographic coverage

Data Visualisations

Choose from multiple chart types:

  • Bar charts — Compare categories or time periods

  • Line charts — Show trends over time

  • Pie charts — Display proportions

  • Area charts — Visualise cumulative data

  • Maps — Geographic distribution of grants

Case Studies

The AI identifies your most compelling grants and writes up detailed case studies including:

  • Organisation background

  • What they were funded to do

  • Outcomes achieved

  • Beneficiary impact

  • Quotes and evidence (where available in your data)

Each case study links back to the original grant for reference.

Tips for Great Reports

Be specific with your focus

Instead of "Make a report", try "Create a report focusing on youth employment outcomes, highlighting geographic spread across the North West".

Have good data

The better your grant data (monitoring reports, outcomes tracking), the richer your report will be.

Iterate in conversation

Don't try to get everything perfect in the first generation. Use the chat to refine section by section.

Use for different audiences

Generate different versions for different audiences — a summary for board members, detailed version for funders, public version for your website.

Frequently Asked Questions

How long does generation take?
Typically 1-3 minutes depending on how much grant data you have. The research phase can take up to 5 minutes for very large portfolios.

Can I edit the report manually?
Use the chat interface to request changes. The AI will modify the report based on your instructions.

What if I don't like a case study?
Ask the AI to "replace the first case study with one about [topic]" or "remove the case study about [organisation]".

Can I add my own content?
Yes. Upload documents through the chat and ask the AI to incorporate specific information or quotes.

Will it include rejected applications?
No. The AI only analyses approved, awarded, or completed grants — not rejected applications.

Can I use this for annual reports?
Absolutely. Set your date filters appropriately and ask for a year-in-review style report.
