The Reports tab gives you a complete analytical view of your grant portfolio. See financial summaries, visualise geographic distribution, and export data for your records — all in one place.

The Reports tab gives you a complete analytical view of your grant portfolio. See financial summaries, visualise geographic distribution, and export data for your records — all in one place.

Accessing Fund Reports

  1. Go to your fund

  2. Click Manage & Monitor in the top right

  3. Select the Reports tab


Summary Cards

At the top of the page, four cards show your key financial metrics:

Card

What it shows

Total Awarded

Sum of all grant amounts awarded (based on your filters)

Total Disbursed

How much has actually been paid out to grantees

Outstanding

Amount awarded but not yet paid (Awarded minus Disbursed)

Average Grant

Average grant size across your filtered grants

These numbers update automatically as you apply filters.


Filtering Your Data

Click Filters to expand the filtering options. Active filters appear as removable tags below.

Date Range

Filter grants by a specific time period. Quick presets include:

  • Last 7 Days

  • Last 30 Days

  • This Quarter

  • Last Quarter

  • This Year

  • Last Year

Or select custom start and end dates.

Date Type

Choose which date to filter by:

  • Award Date — When the grant was approved (default)

  • Application Date — When the application was submitted

  • Start Date — When the project begins

  • End Date — When the project ends

Status

Filter by grant status. You can select multiple statuses. By default, only "approved" grants are shown.

Application Responses

Filter by how applicants answered your form questions. Only structured questions (multiple choice, dropdown, checkbox) are available as filters.

For example, filter to show only grants to "Registered Charities" or projects tagged as "Youth Services".

Clearing Filters

Click Clear All to reset to defaults, or click the X on individual filter tags to remove them one by one.


Group By

Choose how to group your data in the charts:

Time-Based Grouping

  • Month — Group by calendar month (e.g., 2024-01, 2024-02)

  • Quarter — Group by quarter (e.g., 2024-Q1, 2024-Q2)

  • Year — Group by year

Other Groupings

  • Individual Grant — Show each grant separately

  • Geography (Postcode) — Group by postcode area

Application Form Fields

Group by answers to your application form questions. For example, group by "Organisation Type" or "Project Theme" to see how grants are distributed across categories.


Three Ways to View Your Data

Charts View

Two side-by-side bar charts:

Grant Count by Group — How many grants in each group

Grant Amount by Group — Total funding in each group

These charts update based on your selected grouping. Hover over bars to see exact values.

Map View

See where your grants went geographically.

Points Mode:

  • Shows a marker for each grant location

  • Click markers to see grant details

  • Zoom and pan to explore

Heatmap Mode:

  • Shows colour-coded regions based on grant concentration

  • Toggle between Local Authority District (LAD) and Ward level

  • Switch between counting grants (#) or total amount (£)

  • Filter by status: Funded, In Progress, or All Applications

Table View

A detailed table of all grants matching your filters:

Name of the grant recipient

Amount Awarded

Grant amount (sortable)

Amount Disbursed

Amount paid so far (sortable)

Outstanding

Amount still to be paid (sortable)

Status

Current grant status (filterable)

Date Awarded

When the grant was approved (sortable)

Click column headers to sort. The table paginates automatically for large datasets.


Exporting Data

In the Table view, click Export CSV to download your filtered grant data.

The export includes all grants matching your current filters with all columns. The file is named after your fund (e.g., "Regional-Grants-25-26-reports.csv").

Use this for:

  • Finance reconciliation

  • Board reports

  • External reporting requirements

  • Data analysis in Excel or other tools


Common Use Cases

End of year review

Set date type to "Award Date", select "This Year", group by Quarter to see how your funding activity varied through the year.

Geographic analysis

Use the Map view with heatmap mode to identify areas with high or low grant concentration. Switch to LAD or Ward level for different granularity.

Portfolio composition

Group by an application form field like "Organisation Type" or "Project Theme" to see how your funding is distributed across categories.

Outstanding payments

Look at the Table view, sort by "Outstanding" to see which grants have the most remaining to be paid.


Frequently Asked Questions

Why do the summary cards show different numbers than I expected?
The cards reflect your current filters. Check that your status filter includes all the statuses you want to count.

Can I save a filtered view?
Not currently. Note down your filter settings if you need to recreate a specific view.

Why are some grants missing from the map?
Grants without valid postcodes won't appear on the map. Check that postcode data was collected in applications.

What's the difference between LAD and Ward in the heatmap?
LAD (Local Authority District) shows larger administrative areas. Ward shows smaller electoral divisions within those areas. Use LAD for a broader view, Ward for more detail.

Can I filter by multiple statuses?
Yes. Click the Status dropdown and select all the statuses you want to include.
