The Review checklist in PREO has been updated to a new look along with more efficient, and easier to use processes.

In the old UI you would were able to input comments for every question.

In the new UI there is a message box that allows the order desk or the sales rep to provide additional comments during the kick back workflow, all comments are logged in the chat.

In the new UI there is a new banner that populates at the top of the proposal that shows “Proposal has review board to do’s”. The user must click on the banner to open the interactive to do’s list.

Process for Order Desk

  • Order Support Workflow: The review proposal board option remains at the top of the page. The order desk personnel will answer checklist questions, which may require actions from sales, and these actions will be managed through a new proposal order review board workflow.

    • Review Proposal Board: The review proposal board option is still at the top of the page for order support personnel. This option is crucial for managing the workflow and ensuring that all necessary actions are tracked and completed.

    • Checklist Workflow: The order desk personnel will answer checklist questions as they always do. These questions are either under review in the current format or flow through three new milestones available for the regions, supported by the new order support role.

    • Kickback to Sales: When a checklist question requires action from sales, the order desk personnel will kick it back to sales. This action is managed through the new proposal order review board workflow, ensuring that all necessary steps are taken to address the issue.

    • Contextual Comments: Upon kickback, a message box pops up, allowing the order desk personnel to provide additional context based on the actions needed. This context is logged into the chat automatically, facilitating clear communication between the order desk and sales.

    • Sales and Order Desk Interaction: The interaction between sales and order desk personnel involves a back-and-forth process where each party verifies and validates the actions completed by the other. This ensures that all necessary steps are taken to make the order flow smoothly and be enterable into the system.

  • Checklist Questions and Kickbacks: Checklist questions will either be under review in the current format or flow through new milestones. If a checklist question requires action from sales, the order desk personnel can kick it back to sales with additional context provided in a message box.

    • New Milestones: Checklist questions will flow through three new milestones available for the regions, supported by the new order support role. This ensures that the workflow is streamlined, and all necessary steps are taken.

    • Kickback Process: If a checklist question requires action from sales, the order desk personnel can kick it back to sales. A message box pops up, allowing the order desk personnel to provide additional context based on the actions needed.

    • Context Logging: The context provided by the order desk personnel is logged into the chat automatically. This ensures that all necessary information is communicated clearly and efficiently between the order desk and sales.

  • Sales and Order Desk Interaction: The interaction between sales and order desk personnel, where sales can kick back to the order desk and vice versa. The order desk will verify and validate the actions completed by sales, using toggle buttons to confirm actions and a green save option to finalize the checklist.

    • Verification Process: The order desk personnel are responsible for verifying and validating the actions completed by sales. They use toggle buttons next to each action to confirm that the salesperson has truly completed what is needed.

    • Toggle Buttons: Toggle buttons are used by the order desk personnel to confirm actions. Once all actions have been confirmed, the toggles are turned green, indicating that the necessary steps have been completed.

    • Green Save Option: After confirming all actions, the order desk personnel click the green save option at the bottom of the screen. This finalizes the checklist and ensures that all necessary steps have been taken.

    • Contextual Chat Exchange: The interaction between sales and order desk personnel involves a contextual chat exchange via the pop-up box. This ensures clear communication and efficient resolution of any issues that arise during the workflow

  • Proposal Lifecycle: The lifecycle of a proposal, explaining that once the checklist is completed, the proposal will move to the next milestone. This process includes various stages such as under review, pending validation, and getting signatures.

  • Review Console Access: Access the review console by clicking the banner at the top of the proposal and ensure all actions are toggled and confirmed. (Order Desk Personnel)

  • Checklist Completion: Complete the checklist by clicking the green save option and the complete checklist button to move the proposal to the next milestone. (Order Desk Personnel)
