The Review checklist in PREO has been updated to a new look along with more efficient, and easier to use processes.

In the old UI you would were able to input comments for every question.

In the new UI there is a message box that allows the order desk or the sales rep to provide additional comments during the kick back workflow, all comments are logged in the chat automatically.

In the new UI there is a new banner that populates at the top of the proposal that shows “REVIEW BOARD: This Proposal has pending action items.”. The user must click on the banner to open the interactive action items list.

Process for Sales Reps

  • Notification System:

    • Reps will receive email alerts and notifications in PREO based on their user notification settings.

    • Notifications will prompt Reps to navigate to the proposal and check the Proposal Review Board and/or chat for actionable items.

    • Note: A job # will not be assigned until the proposal reaches Under Review in the milestone journey.

  • Action Items:

    • Reps can view chat history for context and see a list of actions needed.

    • A banner at the top of the proposal (REVIEW BOARD: This proposal has pending action items.) will lead to a pop-up window that lists required actions.

  • Kickback Process:

    • To initiate a kickback response simply click on the deal admins name at the top of the pop up window or click the kickback to deal admin button at the bottom of the window.

    • Proposals may go into Quote Validation, Get Signature, or Signature Review triggering kickback questions and needing additional information to move the proposal forward.

    • Reps can see who kicked back the proposal and the action items listed by clicking on the Proposal Review Banner at the top of the proposal.

    • Reps can mark actions as completed and save partially completed lists by checking the completed box and save response or if you have questions you can respond to deal admin and ask questions (these will automatically be logged in the chat of the proposal).

  • Completion and Response:

    • Once all actions are completed, Reps can save responses and kick back the proposal to the Deal Admin.

    • The Deal Admin can review and either accept the completed actions or kick back for further work.

    • Once the Deal Admin accepts the completed actions the proposal will move to the next milestone stage.

  • Ongoing Workflow:

    • The kickback process continues until all actions are completed and validated by the Deal Admin.

    • The Deal Admin personnel are responsible for final checklist completion. Once the Deal Admin confirms all actionable items are confirmed and complete, they will complete the checklist which will advance the proposal to the next milestone stage.

    • This process will be repeated for the get signature and signature review milestone stages with the same kick back process when reviewing the checklists by the deal admin.
