How to Set Customer Payment

🔒 Phase 1: Prepare the Deal

Before adjusting pricing, ensure the deal is fully built out. This is critical because missing elements can skew pricing.

  1. Add All Equipment

    • Ensure every piece of equipment is entered into the proposal.

  2. Set Locations

    • Confirm all customer locations are correctly assigned.

  3. Complete the Contracts Tab

    • Fill out all required fields:

      • Remote Service Technology

      • Remote Opt-Out

      • Sub Opt-Out

      • Service details

  4. Include Financial Details

    • Add:

      • Lease payoffs

      • Networking fees

      • Any other cost-impacting items


💰 Phase 2: Adjust Pricing

  1. Locate Lease Payment

    • Find the lease payment section at the top of the proposal.

  2. Modify Lease Payment

    • Click Bundled Lease Payment.

    • Adjust the payment up or down as needed.

    • Note: Changing the payment affects the markup percentage (e.g., lowering payment may show a negative markup).

  3. Use Target Markup Guidance

    • Click the Refresh button next to the Target Markup box.

    • Review the pricing guidance:

      • If pricing aligns with Xerox expectations, it will confirm.

      • If not, it will suggest adjustments.

    ⚠️ Tip: Use this guidance as a reference, but rely on your understanding of the customer’s needs.


📋 Phase 3: Verify Payment Details

  1. Check Lease Term & Program Type

    • Ensure these are accurate to get correct payment amounts.


✅ Phase 4: Review Approvals

  1. Go to the Approvals Tab

    • View markup status for:

      • Equipment

      • Service

      • Escalations

  2. Understand Regional Markup Limits

    • Example: If your region allows up to -10% markup, going below that requires VP approval.


📨 Phase 5: Submit Pricing Approval Request

  1. Initiate Request Early

    • As soon as pricing is set, submit the request to allow time for VP review.

  2. Fill Out the Request Form

    • Include context:

      • Competitive situation

      • Customer expectations

      • Any relevant justification

  3. Submit the Request

    • Click Submit Request to send it for VP review.

  4. Track the Request

    • Go to the Request Tab to see:

      • Status of the approval

      • Who it's assigned to
