Steps to Create a PREO Proposal

Best practices on the order of operations to create a proposal

Information Gathering (Helpful information to have during the proposal process)

  1. Get buyout information

  2. Identify Pickup Serial Numbers

  3. Get Existing Contract Numbers/Details

Building in PREO

  1. Create Proposal

    1. Specify Order Type, Contract Type, and Purchase Type

  2. Search for customer or enter new customer

  3. Enter Existing Lease Company, Type, Lease Number, and Estimated Payoff amount (Lease Payoffs Page)

  4. Request Buyout Quotes or Buyout Information (Requests Page)

    1. Buyout Quotes = HCL Will update the exact buyout value

      1. This requires you to load the Pickup data so HCL knows which is return vs keep

    2. Buyout Information = HCL will provide back PDFs for you to review/enter buyout values

      1. Use this option if you are just exploring your options

  5. Load Pickups (Pickups Page)

    1. First try to use "Select from E-Automate"

    2. Use "Add New" to manually add Pickup data if no data exists in EA

    3. Set pickup option and other required fields

  6. Link the Pickups to the Lease Payoffs or mark as customer owned (Pickups Page)

  7. Add new equipment (Equipment Page)

    1. Set Shipping Location and Delivery Checklist

  8. Go back to Pickups and link Pickups to New Equipment or mark as "Do Not Replace" (Pickups Page)

  9. Build your service/MPS contracts (Contracts Page)

    1. Set Contract Type

    2. Enter volume

    3. Set customer base price

    4. Set customer overage rates

    5. Add Existing Devices to Contracts if applicable

      1. Select/Edit existing devices and specify Pools for each device

  10. Review and enter additional expenses, if applicable (Expense Page)

  11. Set Contact information, especially A/P contact (Contacts Page)

  12. Set Customer Payment (Pricing widget across top of proposal)

  13. Review approvals and request approvals as needed (Approvals Page)

  14. Request Credit Approval (Request Page)

  15. Generate Documents (Generate Docs)

  16. Send Documents using Send with Docusign (Generate Docs)

    1. This will give you the option to Preview and set signing contacts before sending

    2. Customer will be sent envelope for signature and Rep will receive a counter-signature request after customer signs.

  17. After receiving signature, Submit for Review

    1. Address any open WIN Helper Rules that appear

    2. Complete submission checklist

    3. Verify commission accuracy

  18. Your deal has been submitted once you see a confirmation message.
