Overview of Prism's Connected Show: Automated Import functionality and frequently asked questions

Overview

As of May 9, 2023, all Prism offers and settlements (except for simple offers and simple settlement sheets) have a share link at the bottom of the document so agents can automatically import the data into their account with one click!

If you're a Prism client on the buyer side, this new feature reduces friction and mistakes during negotiations; because agents can import new versions of your offers. If you're a Prism client on the agency side working with Prism buyers, this new feature enables you to build contracts and enter finals faster than ever! It reduces the chance of human error, erodes inefficiencies, and streamlines an otherwise cumbersome process.


General FAQs

What is the purpose of the Connected Show?

The vision for the Connected Show is to eliminate industry-wide redundancies by automating steps between venues, promoters, and agencies during the booking process. Our goal is to give you back time to book more shows and focus on the things that matter most. Instead of manually entering offer data to create contracts, agents can import deal information directly into their Prism accounts to speed up contract creation and to avoid human error.

What do I need to do in order to access this feature?

As a venue or a promoter, just keep doing what you’re doing! As of May 9, 2023, all Prism offers and settlements (except for simple offers and simple settlement sheets) will have a share link at the bottom of the document.

As an agency client, if you see a share link at the bottom of a Prism offer, click to import the offer to a new or existing show on your calendar. So keep doing what you’re doing, but faster!

What information is shared when a show is imported?

Offer and settlement information from venue and promoter accounts will be copied into the agency’s Prism account.

Specifically, these are the data points shared:

Event Information

  • Dates (event date(s), announce, onsale, presale)

  • Age Limit

  • Pre-Settlement Fee(s)

  • Facility Fee(s)

  • Tax Rate

  • Ticket Scaling (Allotment, Comps, Kills, and Price, as well as Sold tickets)

  • Additional Revenue Included in Net Gross

  • Costs (Offer Budget costs and Settlement costs)

  • Settlement Terms

  • Deal Terms

  • Additional Terms & Conditions

Artist Deal Information

  • Artist Name

  • Deal Info (including adjustments and relevant additional deals e.g. support guarantee)

  • Merch Rate and Merch Notes

  • Run of Show (only those marked as “Included on Docs”)

Notes:

  • Simple offers and simple settlements cannot be linked at this time

  • Deal descriptions will only be imported if the artist is a client on the agency's Prism roster. Agents are advised to double check that all inclusions are entered properly after importing the offer.

What about related deals (e.g. support) on a show?

Related deals will also copy over. Prism will only import information that is already part of the offer and impacts the artist’s deal with the agency client.

Because of the way talent deals calculate, importing a deal will also import:

  • All support deals with “Include in Deal” toggled on

  • All other headliner deals on the event affecting the deal (guarantee information only)

For example, if the headliner deal is flat, then no other deals need to be copied over, but if it’s a net deal after show expenses with support included in the deal, then the relevant support deal(s) will copy over. Or, if you have a plus deal with two headliners, only the second (non-client) headliner's guarantee will copy over.

When is the data shared?

Offer and settlement data can only be shared when a promoter sends a Prism offer or settlement (except for simple offers and simple settlements) to a Prism agent. The Prism agent must either (1) Click the link on the offer/settlement PDF; or (2) Click on the share link in the email if the offer or settlement was sent using Prism's "Send Email” feature.

What happens if there's a new version of the offer or settlement?

Every time a new offer or settlement is generated on the buyer's side, a new unique share link will populate on the document. Once clicked on the agency side, all data will be overwritten with the new version from the promoter's event.

Information will update in the agency account at the time that the offer or settlement link is imported. If you are a buyer creating multiple versions of a deal, we recommend building out separate events for each of them.

Do the links on Prism documents expire?

Yes, they expire after 90 days and each link can only be imported once by a Prism agency client.

What happens when a Connected Show is archived?

When a connected show is archived, whether it is on the agency side or the venue/promoter side, the event will no longer be connected.

How do I connect a show?

Generate a Prism offer or settlement and share it with an agent in any of the following ways:

  • Send them the PDF document

  • Use Prism’s “Send Email” feature

Note: Simple offers and simple settlements cannot be linked at this time

Will any of my internal-facing numbers be shared?

No.

We've designed this feature so that only external-facing numbers affecting the deal will be imported to the agent’s Prism account. For example, if support is included in the deal as a show expense on the offer, that information will be copied over, but if you have internal numbers for your own reporting purposes (e.g. Estimated Sales, Actual Internal costs, etc.), rest assured, those will remain internal-only.

What happens if I send an offer to an agency that's not on Prism?

The link will take them to the Prism login screen, but since they don't have a Prism account they will not be able to import any data automatically to their system.

Does an imported deal look or behave any differently to a regular show?

They'll look and behave the same after being imported. However, agency clients will notice a link icon at the top left of the event, as well as a timestamp next to the deal indicating when the data was last imported.

Note: If, and only if, your organization elected to participate in the Connected Show Limited Beta, then the show will include some extra functionality on the agency side.

Agency FAQs

How do I connect a show?

  • Click on the share link at the bottom of the Prism offer or settlement and you'll see a screen outlining all the information that will be copied over from the buyer’s account into your Prism account (see screenshot below)

    • If you’re not signed in to Prism, you’ll be redirected to the login page to sign in

  • If this is the first time linking the event you can either:

    • Create a brand new event

      • If you create a brand new event, you’ll also need to select an existing venue and stage in your account.

    • Choose an existing event from your calendar

      • If you select an existing event, any of the details listed will be overwritten, so if there’s important information in the existing event, you might want to consider canceling and manually entering the offer information, or creating a new event and comparing the two later.

  • If you imported an offer but then received a new version for the same deal, you won’t have the option to select a new or existing event, but you’ll have the option to decide whether or not you want to overwrite all the previous details.

    • If you do not want to overwrite the information on your existing event, you might want to consider canceling and manually entering the offer information.

Does an imported deal look or behave any differently to a regular show?

Yes, you'll notice a couple of small differences in the way it looks:

  • Connected link icon next to the artist name in the Event List

  • Connected link icon next to the venue name in the event itself

  • Deals on connected shows will have a “Deal Linked” and a “Latest Import” date stamp under the headliner deal

NOTE: If, and only if, the link comes from a venue or promoter who is part of the Connected Show Limited Beta, then you will see an “Import” button in the top right hand corner of the event page. This button allows for some additional functionality (see below).

Can all users import a show in the agency account?

Only admins and users with the "Create Holds" permission can import a show into the agency's account. If the user is allowed to add shows directly to the calendar, then it follows that can add shows via a share link as well.

If I make changes to an imported event on my account, will the promoter see the changes on their event?

No, any change made in your account will not import into the promoter account. If you'd like changes to be made to the deal, discuss with the promoter and if/when they send you a new offer, click the link at the bottom of the new offer to overwrite the details of your event.

Connected Show Limited Beta

The automated import gets us closer to the goal of eliminating redundancies in the industry and sets the foundation for further capabilities we're building out with the Connected Show!

To that end, we also have a Connected Show Limited Beta which extends the automated import functionality, allowing agencies to run a re-import on the latest data from the buyer’s account (under certain conditions).
