Overview of Contacts in ProdPro CRM

Written by Jeff Impey

Every contact your company adds lives in one shared list that everyone can see and search. Three things describe your relationship to a contact: Contact Of, My Contacts and Owner.

Contact Of

Contact Of lists everyone at your company who has this person in their contact book.

It answers "who here knows them?" — and tells you who should make the call when you need an introduction. Any number of people can be a Contact Of the same person. If four colleagues know a line producer, all four appear.

My Contacts

My Contacts are contacts you have added yourself to. Use the pencil beside the Contact Of names to add or remove yourself, and the My Contacts view in the left panel to see them all.

Adding yourself says you know the person.

Owner

Owner is the one person responsible for managing the relationship — the same ownership Pipeline uses for Accounts, Opportunities and Tasks.

  • One owner per contact.

  • Set by default to whoever added or imported the contact, and changed on the contact record at any time.

  • The Owned by me toggle at the top of the list filters to contacts you own.

Five people can know a line producer and all be a Contact Of her, while one person owns the relationship.

How contacts drive connections

ProdPro tracks who has worked with whom across the industry. Your contacts are the starting points: when a production appears, Pipeline traces outward from them to show who at your company has a route in.

A connection is either:

  • Your contact is on the production, or

  • someone on the production has worked with your contact before — you do not know the cinematographer, but your contact has shot three films with her.

Where connections appear

  • Productions search — turn on Show Connections to add a column counting who you know on each production. Hover the count to see who, through whom, and how many productions they shared.

  • Production detail — shown against the crew, so you can see your route in while reading the crew list.

  • Crew records — the Collaborators tab flags the people already in your contacts.

Whose contacts count

Choose whether connections trace through your own contacts or everyone's, using the control beside the connections switch:

  • Company Connections — the default, showing your company's full reach.

  • My Connections — only the contacts in your own book.

  • Roster — your companies talent roster (see Managing Roster here -->)
