Resource requests help teams coordinate who needs resources and who assigns them without relying on side conversations or manual follow-ups.
They’re designed for organizations where project managers plan work, but resource managers control availability and assignments.
Instead of booking people directly, project managers submit a request that resource managers can review, discuss, and resolve.
Resource requests are available on the Ultimate subscription plan.
📌 Note: This feature does not replace creating bookings in the Resource Planner. Instead, it adds another layer to the flow for companies or bigger projects that require it, where project managers are not involved in resource planning directly. It’s designed to make going through an official approval process easier.
What Problem do Resource Requests Solve?
In many teams, assigning resources involves back-and-forth between roles:
Project managers know what they need and when
Resource managers know who is available and suitable
Resource requests create a shared workflow where:
Project managers can request resources with clear requirements
Resource managers can evaluate availability and skill match
Both sides can communicate and track progress in one place
How Resource Requests Work (at a glance)
A project manager creates a resource request on a budget or a deal
The request includes timing, allocation, and required skills
A resource manager reviews the request
Productive suggests a booking based on availability and match
The request is resolved, rejected, or discussed via comments and a booking is saved for the selected user(s)
Before You Start: Enable Resource Requests
Resource requests must be enabled before they can be used.
Once enabled, resource requests become available:
Where You’ll Find Resource Requests
Depending on your permissions, resource requests appear in two places:
In a budget or a deal > Resource Requests tab
Used by project managers to create and track requests for that budgetIn Resourcing > Resource Requests
Used by resource managers to review and resolve requests
Resource Request Statuses
Each request has a status that reflects its current state:
Pending: request created and awaiting resolution
Resolved: request fulfilled and booking created
Rejected: request declined
Canceled: request withdrawn by the requester
Statuses update automatically as the request progresses.
