Programa for Brands: Existing Supplier Transition FAQ

Answers to common questions about transitioning to Programa's new supplier experience, including changes to Leads, the Quote Requests experience, the Trade Portal, Insights, and your existing account.

We're introducing a new supplier experience on Programa. The Leads view is being retired, the current Quote Requests experience is transitioning into a collaborative quoting workflow, and a new Insights dashboard will help you understand how your brand is performing. Existing partners will begin receiving early access from mid-August, ahead of the full launch on 1 September 2026.


The change

What’s happening to Leads and Quote Requests?

The Leads view is being retired, and the current Quote Requests experience is transitioning to a collaborative quoting workflow. Designers will bring you directly into their projects, where you can manage opportunities, track project and quote status, and stay connected from specification through to ordering.

Why are you making this change?

Seeing that a product was specified provided visibility, but not always the context needed to take action. The list was static, carried no message or intent, and gave little indication of whether a designer was ready to engage. Designers also increasingly asked us to limit passive visibility. The new model gives you a genuine role when a designer is ready to collaborate.

Will this actually get me more business?

The aim is to create more meaningful opportunities, with designers engaging directly when they’re ready to collaborate, alongside Insights to help you understand where your brand is gaining traction.


Timing

When do these changes take effect?

The Leads view will be retired on 1 September 2026, when the new platform launches. The current Quote Requests experience will transition to the new collaborative quoting workflow at the same time.

Can I keep using them until then?

Yes.

Will there be a gap where I have neither the old views nor the new tools?

No. Existing partners will receive early access before the current experience is retired.

When do I get early access?

From mid-August, ahead of the September launch. We’ll send access details closer to the time.


Historical data

Will I lose my historical leads data?

No, we’ll send a complete export of your last 12 months of leads data before the switch, for your own records or CRM.

What’s in the export, and when will I get it?

We're finalising the exact format and timing. Expect a full export ahead of the switch. We'll confirm the details before it goes out.

Will I still be able to access historical leads in-platform?

No. We'll send you a complete export before the transition so you have a record of your last 12 months of leads.


Trade Portal & discovery

What’s happening to the Trade Portal?

It’s being retired. Designers increasingly research products on brand websites and bring them into Programa using Web Clipper and URL Paste rather than browsing a separate portal. Your existing product library will continue to support the supplier experience by helping you prepare quotes faster when designers invite you into projects.

What happens to the products I’ve already uploaded?

Your products will carry across into the new supplier experience. We’re simplifying the product structure to a per-SKU basis rather than the current base-product-with-variants structure, so each variant will become its own product record. We’ll assist with converting your existing data to this new, simpler structure.

Your product library will power the new collaborative quoting workflow, making it faster to prepare and send quotes when designers invite you into a project.

How will designers find my products now?

Designers will continue to discover your products through your own website and add them to their schedules in Programa using Web Clipper and URL Paste.

Your brand will also appear in a Brand Directory within the designer workflow. After launch, we’ll begin building richer discovery features, including product-level search, alternative suggestions, personalised recommendations, and the ability for designers to follow the brands they work with. Over time, these improvements will make it easier for your products to be discovered throughout the designer workflow.

Can I still reach out to studios directly, or only when a designer invites me?

Collaboration will be designer-led. When a designer is ready to engage, they’ll invite you into the project to collaborate through the quoting workflow.


New workflow & Insights

How will I hear about new opportunities now?

Designers bring you into a project through the quoting workflow when they want to engage, and you manage it from there.

Will I get fewer opportunities under a designer-initiated model?

Not necessarily. The way opportunities appear is changing. Instead of a list of specifications to follow up on, you’ll receive direct collaboration opportunities from designers, alongside insights into how your products are being engaged with across Programa.

What if a designer isn’t ready to quote, won’t I miss early opportunities?

Early specification activity doesn’t always mean a project is ready for supplier involvement. Insights will show where engagement is happening, and you’ll be brought in when a designer is ready to collaborate.

What does the Insights dashboard show?

How your brand is performing on Programa - total specified value, how products move from specified to approved, most-specified products, and how many studios and projects are engaging with you.

Will I still see which studios and projects are specifying my products?

You’ll see named studio and project detail for any designer who invites you into a project; elsewhere your performance is shown anonymously. Named visibility follows genuine engagement.


Pricing & billing

When does billing resume, and does my pause restart automatically?

Billing won't resume immediately. We'll contact you before your subscription resumes with everything you need to know about your account and next steps.

Will I be charged automatically, or do I opt in?

We’ll explain exactly how the transition works before any billing takes place, including what actions (if any) you need to take.

Do I have to decide now?

No. You'll receive early access before you're asked to make any decisions, giving you time to explore the new experience first.

If I don’t continue with a paid subscription, what happens?

Nothing will be deleted. We'll share details of your options, including the available plans, closer to launch.


Seeing it & getting set up

Can I see a demo or preview before I commit?

You’ll have early access in mid-August, prior to our official launch in September.

What do I need to do right now?

Nothing. We'll contact you when your early access is ready and let you know if there's anything you need to do before then.

Do my team, settings and uploaded products carry across?

Yes.

Will there be onboarding or support?

Yes, there will be simple in-app onboarding, and our live chat agents will be available if you have any questions or need assistance.
