Create, dispatch and complete a task in ProgressionLIVE

Learn the essentials to create a task, dispatch it to an employee and complete a task in ProgressionLIVE (web and mobile)

Create a Task (web)

  1. Go to the Tasks section.

  2. Click on Create task.

  3. Provide:

    • the appointment date and time (e.g. 3:00 PM)

    • the human resource (e.g. User)

    • the client

  4. Under Client and location, select:

    • an existing client

    • a different location if the work is taking place elsewhere (e.g. client in Saint-Alexis-des-Monts, but work in Montreal)

    • If necessary, create a new client by clicking the green +

  5. Under General Information, fill in the custom fields specific to your account.*

  6. Click Save and continue.

The task is then assigned a unique number (e.g. #AS000179).

The task status becomes Assigned Draft since a human resource was selected.

*Commonly pre-configured fields

  • Priority
    To identify urgent or scheduled interventions.

  • Intervention Type
    (Installation, repair, inspection, service call, etc.)

  • Requester Name / On-site Contact
    Person to reach or person responsible for the site.

  • Special Instructions
    Access codes, restrictions, site-specific details.

  • Order Number / PO
    Useful for billing or accounting tracking.

  • Internal Manager / Department
    To categorize requests coming from multiple departments.

These fields are custom-configured for your company during your training or by a ProgressionLIVE administrator. If you wish to modify, add, or reorganize the fields visible in this section, contact your trainer or system administrator.


Sending the Task to the Mobile App

To send the task to the Human resource:

  1. Change the status to Dispatched.

  2. Click on Change status. A dispatched task:

  • Is sent to the mobile phone of the task's human resource.

  • Remains visible on the web for real-time tracking. A message confirms that the task has been sent.


The Worker Receives the Task (mobile)

On mobile, the employee can:

  1. Go to Tasks.

  2. View the tasks assigned to them.

  3. Select the task.

  4. Review:

    • the task details

    • the work location address

  5. Tap the GPS icon to open Google Maps and get directions.


Progression status (mobile → web synchronized)

1. Dispatched → On the way

The human resource changes the task status to On the way on mobile. → The status automatically updates on the web.

You can check the History tab to see:

  • which user made the change

  • the date and time

  • all associated details

2. On the way → Work Started

The human resource changes the status to Work Started. → The status updates on the web in real time.


Adding Items to the Invoice (mobile)

The worker can click on the shopping cart icon and then the + to add:

  • an item from the product catalog, or

  • an item with no type (useful if no product exists in your database).

For example, the human resource could add:

  • A part

  • Labour

The employee then clicks Save.


Completing the Task (mobile)

When the work is done:

  1. The employee changes the task status to Completed.

  2. Mandatory fields and other requirements appear automatically (e.g. required photo).

  3. The employee fulfills the task obligations (e.g. takes the photo and fills in the task details field).

  4. They then preview the work order and click the checkmark.

  5. The phone switches to landscape mode to capture the client's signature (if required).

  6. The client signs → the employee saves and enters the signer's name. The task is now complete.

The employee can review it under Completed Tasks.


Finalization by Administration (web)

Even after the task is completed, the administrator can:

  1. Go to the Invoices tab of the task.

  2. Review the items added by the worker.

  3. If needed, you can modify:

    • the price of parts

    • the labour rate

    • add items

  4. Click Save and continue.


Frequently Asked Questions (FAQ)

Does the worker need to be logged in to receive a task?

Yes. For a task to be sent to the device, the user must be logged in, but once received, the task remains accessible offline.

What if I don't want the signature to be mandatory?

This depends on your end-of-task obligations defined in your configuration. Certain obligations can be disabled based on your needs.

Why is the location different from the client?

Because a client can have multiple work addresses (e.g. billing address ↔ job site).

Does the task have to be on mobile to change its status?

No, any status change can be made just as easily on the web as on mobile. Simply open the task, select the desired status, and save.
