Understand why tasks matter and how to use them for service calls, quotes, and maintenance work

Overview

In ProgressionLIVE, a task is the fundamental unit of work.

Everything you manage on a daily basis (service calls, quotations/estimates, maintenance jobs, deliveries, pickups, work orders, and more) is structured around tasks, with different task types defining the form, workflow, and available actions.

For example, a quotation (estimate) is not a separate object in the system. It is typically a task type (a type of work) with its own specific lifecycle.


Creating and Managing a Task

The basic workflow: from the office to the field

1) Create a Task (Web)

To create a task:

  1. Click Create Task.

  2. Select the appropriate Task Type (e.g., Service Call, Quotation/Estimate, Maintenance).

  3. Complete the form (fields displayed in bold are required).

  4. Click Save.

Tip:
Selecting the correct task type is the first step in properly categorizing the work.


2) Schedule, Dispatch, and Track a Task (The Three Main Modes)

List Mode (Tracking and Search)

  • Displays all tasks and their statuses in a table view.

  • Ideal for filtering, searching, and tracking work efficiently.

Dispatch Mode (Daily Dispatching)

  • Displays your human resources on the left and a summary or detailed task view on the right for a selected date.

  • Allows you to quickly assign tasks and view resource availability.

Scheduling Mode (Calendar / Timeline)

  • Allows planning by day, week, or month using a calendar-style (Gantt-like) view.

  • Highlights tasks requiring scheduling, such as tasks without appointments or assigned resources.


3) Progress a Task on Mobile (Typical Field Workflow)

Once a task has been dispatched, the technician can access it from their mobile device and:

  1. Open the task and review the information (customer, location, instructions).

  2. Change the status (e.g., On the way).

  3. Start the work (for example, using a status such as Work started).

  4. Add information such as photos, notes, products, and quantities (if billing is performed on site).

  5. Complete the task (including required fields, mandatory photos, etc., according to your configuration).

  6. Present the work order on screen for the customer's electronic signature.

Important:
The exact statuses and required fields depend on your task type configuration.


4) Finalize the Work: Work Order, Invoice, and Customer Delivery

Depending on your business process:

  • You can manage work orders from start to finish.

  • You can perform mobile invoicing (generate invoices/work orders directly from the mobile app and email them to customers).

  • You can monitor progress in real time and adjust priorities as needed.


Quick Start (Initial Testing)

Minimum Configuration Required to Create, Dispatch, and Complete a Task

1) Create a Mobile User and Human Resource

  • Create a mobile user/license (email address or phone number used to log in to the mobile app).

  • Create a human resource and link it to the mobile license.

2) Create a Product (If You Bill Customers)

  • Add at minimum a product name and price.

  • Optionally include a description, product code, and photo.

3) Create a Customer (Including Notification Information)

  • Add an address, phone number, and email address if you plan to use notifications (email/SMS) and customer communications.

4) Test a Complete Workflow (Quotation → Work Order)

  1. Create a task using the Quotation/Estimate task type.

  2. Send it to the customer for approval.

  3. Once approved, convert the quotation into a work order for execution.

  4. Dispatch the task to a technician and progress it through the workflow until customer signature is obtained.

Is a quotation considered a task in ProgressionLIVE?

Yes. In practice, a quotation or estimate is a task type. It is designed for customer submission and approval and can later be converted into a work order.

Why does ProgressionLIVE place so much emphasis on tasks?

Because ProgressionLIVE is designed to manage service operations—service calls, maintenance, deliveries, and quotations—by standardizing all work around a central object: the task.


Which mode should I use: List, Dispatch, or Scheduling?

  • List: Overall tracking, filtering, and searching.

  • Dispatch: Operational dispatching of human resources for a specific date.

  • Scheduling: Timeline and calendar-based planning of upcoming tasks.


Can customers sign directly on a mobile device?

Yes. Electronic signatures are a common mobile workflow feature, especially at task completion to validate the work order.


Can I invoice directly from the field?

Yes. Mobile invoicing allows you to generate invoices or work orders directly from the app and email them to the customer, while keeping information synchronized in real time.
