Understanding and Configuring Task Types in ProgressionLIVE

Understand, create, and configure task types

Overview

Task types are one of the core building blocks of ProgressionLIVE.

They determine how a task functions, what information it contains, and how it progresses, both on the web platform and in the mobile application.

Every task created in ProgressionLIVE belongs to a specific task type.

A task type can be used to:

  • Define the form (visible and required fields)

  • Define the workflow (statuses and transitions)

  • Apply rules and requirements

  • Manage role-based permissions

  • Control mobile access

  • Enable or disable task billing

  • Associate print templates and automations

Every account comes with default task types, which you can customize, disable, or expand based on your operational needs.


When to Use Task Type Configuration

You will typically access this section to:

  • Modify an existing task type (workflow, form, rules)

  • Assign a new workflow or base type

  • Create a new task type for a specific business requirement

Important:


Do not create a new task type solely to distinguish minor variations (for example, types of work categories).

In these situations, a custom field or tags are often a better solution.


Accessing Task Types

  1. Open the Configuration menu.

  2. Click Task Types in the left navigation menu.

  3. The list displays all task types available in your account.

If you do not have access to this section, contact Technical Support to have the permission enabled.


Understanding the Task Type List

Each row represents a task type and displays its key settings (name, prefix, base type, workflow, permissions, etc.).


Available actions:

  • Double-click a task type to open its configuration.

  • Click Add to create a new task type.


General Tab

The General tab contains the fundamental settings of the task type.

Disabled

  • Makes the task type unavailable for new task creation

  • The task type is not deleted

  • Existing tasks retain their history



Name

  • Display name of the task type

  • Can be modified without affecting functionality

  • Available in French, English, and Spanish

Note:

Even if your account operates primarily in French, completing the other language fields helps avoid inconsistencies if the account language changes.



Prefix

  • Unique identifier for the task type

  • Used in task numbers (e.g., AS-001)

  • Used by automations, print templates, and integrations

Important:

The prefix cannot be changed after creation.



Icon

  • Icon associated with the task type

  • Primarily visible in the mobile application

  • Selected from a predefined icon library

Note:

Use the same icon for similar task types (for example, all field service tasks).



Base Type

  • Defines the task form

  • Determines which fields appear in the General section

  • Can be shared across multiple task types

Important:

Changes to a base type affect all task types that use it.



Workflow

  • Defines the task’s statuses and transitions

  • Can be shared across multiple task types



Read-Only Starting From

  • Makes the task uneditable starting from a specified status

  • Applies to both the web platform and mobile app

  • Only statuses with an ID of 600 or greater can be selected

Important:

Even administrators will no longer be able to edit the task once it reaches this status.



Property Configuration

Defines:

  • Required fields by status

  • Required photos or signatures

  • Default field values

Note:

This configuration is shared among all task types using it.



TX Web Print / TX Mobile Print

  • PDF templates used when printing tasks

  • If you use the new print templates, these fields are managed automatically

  • Legacy templates must be manually assigned here



Email Template

  • Adds a Send by Email button within the task

  • Feature is deprecated

  • Replaced by automations



Default Type

  • Preselected task type when creating a new task

  • Only one task type can be designated as the default



Permissions

  • Determines which roles can create this task type

Important:
To allow task creation on mobile, the role must also have access to the following transitions:

  • Draft → Draft – Assigned

  • Draft – Assigned → Dispatched



Mobile Dispatch Allowed

  • If unchecked, the task will never be sent to mobile devices

  • Useful for purely administrative tasks



Item Billing

  • If enabled: generates invoices with pricing, taxes, and totals

  • If disabled:

    • The Invoice tab becomes Items

    • No prices or taxes are calculated

Important:

This option does not hide prices; it disables billing entirely.



Item Confirmation

  • Adds a Confirmed Quantity field

  • Primarily used for delivery-related tasks



Property Display Order

  • Horizontal: Recommended display mode (better mobile rendering)

  • Vertical: Displays fields in sequential columns



Priorities

  • Define the urgency level of a task

  • At least one priority is required

  • The Alert option triggers a vibration on mobile devices



Configuration Properties Tab

Default Duration

  • Defines the estimated duration when the task is created

  • Used in Scheduling Mode

  • Does not affect the actual calculated time

Tip:

Use the average real-world duration of your tasks to improve scheduling accuracy.



Display Tab

Allows you to show or hide certain general fields:

  • Priority

  • Summary

  • Description

  • Tags / Secondary Tags



Legacy Tabs

TX Mobile Print (Offline)

  • Deprecated options

  • Replaced by modern print templates



Map

  • Advanced settings related to map display

  • Not recommended without guidance from Technical Support



Best Practices

  • Create a task type only when there is a real functional difference

  • Limit the number of task types to reduce account complexity

  • Test with restricted permissions before deployment

  • When in doubt, always consult Technical Support



FAQ

Can I create as many task types as I want?

Yes, but it is recommended to keep the number manageable to avoid complexity and configuration errors.

Are changes applied immediately?

Yes. Any modification is applied live and affects the entire account immediately.

Can I duplicate an existing task type?

No. A new task type must be recreated manually based on the existing configuration.

Can I disable a task type without losing historical data?

Yes. Disabling a task type does not delete any data.

What should I do if I am unsure about the impact of a change?

Contact Technical Support before saving the modification.
