Company Files

This article walks you through how to access, upload, manage, and utilize these files efficiently across quotes, orders, and invoices.

Accessing Company Files

To get started:

  1. Click the hamburger menu (☰).

  2. Scroll to the bottom

  3. Select Company Files.

Only admins or users with the Manage Company Files permission can access and manage this section.

Why Use Company Files?

Company files allow you to upload reusable documents and images that can be used or referenced throughout your ProLine account. This reduces redundancy and keeps your information consistent. Common examples include:

  • Manufacturer brochures

  • Marked-up example photos

  • Promotional one-pagers

  • Company logos or templates

  • Company insurance/liability

Uploading Files

To upload:

  1. Click the Upload button.

  2. Drag and drop files or click Browse to select from your computer

  3. Uploaded files can be:

  • Renamed

  • Organized into folders

  • Assigned expiration dates

    • Useful for time-limited promotions

    • Set same expiration for company insurance docs.

Organizing Files

You can:

  • Create custom-named folders

  • Drag and drop files into folders (desktop only)

  • Lock folders based on permission profiles

  • Also have an option for all files view:

    • Filter files by visibility (Public/Private) or expiration date

    • Files across all projects

Proline’s system mirrors the structure you’re already familiar with from Project Files and Contact Files.

Referencing Company Files

Quotes

While editing a quote (e.g., on the gallery page), click Choose Images. You’ll see it defaults to Project Files but you can tab over to view company files and pull from there.

Orders

In Delivery Settings, selecting an image brings up the same tabs—use your company files for default visuals.

Invoices

Under Billing, editing an invoice and accessing the image gallery gives you the option to pull from company files which are just to the right of the default project files tab.

Permissions Reminder

To access or manage company files, users must either:

  • Be an Admin

  • Have the Manage Company Files permission enabled in their role
