Overview
Quote Templates control the structure and content of every quote your team sends. They are fully customizable, reusable, and support a wide range of page types — from cover pages and pricing to forms and signatures.
Although they are called "quotes," ProLine templates can be used to build many types of documents, including:
Inspection reports
Insurance scope summaries
Certificates of completion
Change orders and supplements
Project welcome packets
Maintenance reports
How to Access Quote Templates
Click the hamburger menu (☰) in the top-left corner of your ProLine account.
Scroll down and select Company Settings (this opens a new browser tab).
Click Quote Templates in the left-side menu.
From here you can create a new template, edit an existing one, or add one from the library. You'll also have access to a pre-built list of templates to use as-is or as a starting point for your own.
If you have multiple locations, you can filter your templates using the Location dropdown at the top. More details about using locations in your quote templates can be found here.
Managing Templates
Go to Company Settings → Quote Templates. From here you have three options:
Option 1: Edit an existing template Click the pencil icon next to any template to open it in the editor.
Option 2: Add from the Library
Scroll to the bottom of the quotes list and click Add Quote Template from Library in the lower left.
In the modal, select ProLine Support Team from the Source dropdown.
Choose a template from the Template dropdown and click Add.
The new template will appear at the bottom of the list — click the pencil icon to customize it.
Note: This may add new price list items if existing matching ones cannot be found.
Option 3: Create from scratch
Scroll to the bottom of the quotes list and click + Add Quote Template in the lower right.
In the modal, enter a quote template name and click Create.
The new template will appear at the bottom of the list — click the pencil icon to start adding pages.
Tip: Starting from the library is recommended for most new users. Prebuilt templates include correct page structure, layout logic, and best-practice page ordering.
Adding Pages to a Template
Once inside the template editor, click the blue + Add a page button in the left sidebar to add a new page.
When adding a page, you will:
Select a Page Type from the dropdown.
Enter a Page Name.
Click Add.
New pages are automatically placed at the bottom of the page list. You can reorder them at any time using drag-and-drop in the left navigation panel.
Quote Page Types
Below is a summary of every page type available in ProLine and what each one is used for. Click the links for full setup and configuration details.
Page Type | Description |
A branded, visual introduction to the quote. Displays your logo, company colors, cover image, project address, and rep contact info.
Presents a priced option the customer must choose when signing. Used for primary scopes of work or tiered pricing selections.
Presents an optional upgrade or additional service the customer can choose to include or skip at signing.
A free-form page for written content such as scope of work descriptions, terms and conditions, or introductory messaging. Supports the [INITIAL] token for customer initials at signing and the [YOUTUBE:ID] or [VIMEO:ID] token for embedding videos.
Embed a PDF or other file directly into the quote — useful for manufacturer warranties, spec sheets, or pre-designed documents.
A drag-and-drop page builder for fully custom layouts. Add text blocks, images, headings, buttons, dividers, and more without any coding.
Displays a collection of project photos or company images in a visual gallery format.
Collects a formal customer signature to authorize the quote. Required when signed authorization is needed rather than a simple approval.
Defines common line items that apply to all option pages nested under it, keeping base costs consistent across packages. Useful for Good/Better/Best pricing options and for projects with multiple structures, where each structure can have its own independent set of options and add-ons.
Collects structured input from the customer or team directly inside the quote — such as project details, selections, or job site notes. |
Quick Notes
All changes in the template editor are autosaved — you'll see "Changes are autosaved" in the top-right corner.
Use the visibility checkbox on any page to hide it from customers while keeping it in the template.
Pricing values (cost, quantity, price) are not visible when editing templates in Company Settings — they only appear when the template is used within a project. Any pricing updates must be made in the Price List under Company Settings.
For more details on template settings such as Profit Margin and Deposit, see Quote Templates – Settings.
