Introduction

Coaching in Proserva allows designated individuals (coaches) to mentor and support other users (coachees) within your organization. Coaches have special permissions that enable them to:

  • Edit their coachees' profiles.

  • Modify and set goals.

  • Manage conferences between themselves and their coachees.

  • Create and review observations.

  • Track progress through feedback and rubrics.

This guide will walk you through how to manage coaching relationships in Proserva, including assigning coaches to users, adding coachees to coaches, and removing coaching relationships.


Accessing a User's Profile

  1. Log in to Proserva with your administrator credentials.

  2. Navigate to the Search Bar:

    • Located at the top-right corner of the screen.

    • Click on the search icon or field.

  3. Search for a User:

    • Enter the name or email address of the user you wish to manage.

    • For example, type "Adam Anderson".

  4. Select the User:

    • Click on the user's name from the search results to open their profile.


Understanding the Profile Tabs

Within a user's profile, you'll find several tabs:

  • Learning

  • Licenses and Credentials

  • Observations

  • Goals

  • Conferences

  • Coaching

  • Personnel Information

  • Permissions

Note: The availability of some tabs depends on your permissions within Proserva.


Managing Coaching Relationships

Viewing Current Coaches and Coachees

  1. Click on the "Coaching" Tab in the user's profile.

  2. See Who Coaches the User:

    • Under "Coached By", you'll find a list of individuals who are coaching this user.

    • Example: Adam Anderson is currently coached by Thomas Blankenship.

  3. See Whom the User is Coaching:

    • Under "Coaching", you'll find a list of individuals whom this user is coaching.

    • If the user is not currently a coach, this section will be empty.

Assigning Coaching Access to a User

Before a user can coach others, they need to have coaching access.

  1. Edit Coach Status:

    • In the "Coaching" tab, click on "Click here to edit [User's Name]'s coach status".

    • This opens the Edit Profile window.

  2. Enable Coaching Access:

    • Find the "Role" or "Permissions" section.

    • Check the box or toggle that grants coaching privileges to the user.

  3. Save Changes:

    • Click "Save Changes" to update the user's profile.

    • The user now has the ability to coach others.

Adding Coachees to a Coach

  1. Access the Coaching Tab of the coach's profile.

  2. Add a Coachee:

    • Click the "Add" button under the "Coaching" section.

    • A search window will appear.

  3. Search for Users to Coach:

    • Enter the name or email of the user you want to assign as a coachee.

    • Example: Search for "Samantha Adams".

  4. Select and Invite:

    • Select the user from the search results.

    • Click "Invite" or "Add" to assign them as a coachee.

  5. Confirmation:

    • The coachee now appears under the coach's "Coaching" list.

    • The coach can now manage goals, conferences, observations, and more for this coachee.

Removing a Coachee from a Coach

  1. In the Coach's Profile, go to the "Coaching" tab.

  2. Locate the Coachee you wish to remove.

  3. Remove Coachee:

    • Click on the "Remove Coachee" button next to the user's name.

    • Confirm the action if prompted.

  4. Result:

    • The user is no longer coached by this coach.

    • All coaching permissions related to this relationship are revoked.

Assigning a Coach to a User

If you want to assign a coach to a user (from the coachee's perspective):

  1. Access the Coachee's Profile.

  2. Go to the "Coaching" Tab.

  3. Add a Coach:

    • Click the "Add" button under the "Coached By" section.

  4. Search for Coaches:

    • Enter the name or email of the coach you want to assign.

    • Ensure the coach has coaching access enabled.

  5. Select and Assign:

    • Choose the coach from the search results.

    • Click "Invite" or "Add" to assign them as the user's coach.

  6. Confirmation:

    • The coach now appears under the user's "Coached By" list.

Removing a Coach from a User

  1. In the Coachee's Profile, navigate to the "Coaching" tab.

  2. Find the Coach you wish to remove.

  3. Remove Coach:

    • Click on the "Remove Coach" button next to the coach's name.

    • Confirm the action if necessary.

  4. Result:

    • The coach no longer has coaching permissions over this user.


Coach Permissions and Capabilities

Once a coaching relationship is established, coaches can:

  • View and Edit Goals: Set, modify, and track goals for their coachees.

  • Manage Conferences: Schedule, modify, and record conferences with coachees.

  • Create Observations: Conduct observations and provide feedback.

  • Access Progress Data: View coachees' progress, including feedback and rubric scores.

  • Edit Profiles: Make permitted edits to coachees' profiles.

Note: Coaches should exercise these permissions responsibly and in accordance with your organization's policies.


Tips and Best Practices

  • Ensure Proper Permissions: Only users with administrative rights can assign or remove coaches and coachees. Verify your access level if you encounter issues.

  • Communicate Changes: Inform users when you assign or remove coaching relationships to maintain transparency.

  • Regularly Review Coaching Assignments: Periodically check coaching assignments to ensure they reflect current organizational structures and mentorships.

  • Leverage the Coaching Features: Encourage coaches to utilize all available tools within Proserva to support their coachees effectively.


Troubleshooting

  • Cannot See the "Coaching" Tab:

    • Verify that you have the necessary permissions.

    • Contact your system administrator if you believe this is an error.

  • Unable to Add a Coach or Coachee:

    • Ensure the coach has coaching access enabled.

    • Confirm that the user exists within your organization's Proserva system.

  • Changes Not Saving:

    • Check for any error messages.

    • Make sure all required fields are filled out in the edit forms.

    • Try logging out and back in or using a different web browser.
