How to use Event Comments

Collaborate with Your Team Using Event Commenting

Prospero’s new Event Commenting makes it easier than ever to keep communication focused, organized, and actionable, right where your work is already happening: on your calendar.

As productions grow more complex, answering the simple question “What do we need to do right now?” becomes more challenging. Comments let you and your team collaborate directly on event pages within the calendar. Whether you're flagging a missing resource, clarifying a location, or confirming responsibilities, you can now do it all in context. No need to switch tools or lose track of details—every comment stays attached to its event.

🔍 Where to Find Comments

  • On individual events by going to the expanded event page.

  • In your in-app Inbox.

  • On the main Calendar page in the Comment Sidebar.

  • In email notifications for events you're subscribed to.

🗓️ Comment Directly on Events

To comment on an event in the calendar, click the event to open the event preview. Click the expand button to open the full event page and leave a comment.

To notify teammates directly in comments, @mention them in the comment. Even if someone isn’t already subscribed to that event, mentioning them will both notify the user and automatically subscribe them to future comments on that event.

🔔 Stay in the Loop with Comment Subscriptions

You can subscribe to comments directly from an event or by subscribing to the project that the event belongs to.

Subscribe from the Event Page

Toggle your subscription to a specific event's comments by clicking Subscribe or Unsubscribe in the upper right corner of any event page.

Subscribe to a Project

Prospero also lets you subscribe to all events for an entire project. Once you do, you’ll automatically follow all current and future events in that project, receiving notifications whenever a new comment is made.

To subscribe to a project, go to the Projects tab and click the three-dots menu for the project you want to subscribe to. Click Subscribe to all events to get comment notifications in your inbox.

📥 Your Inbox

The Inbox, found in the Calendar Sidebar, is your personal feed of current comment discussions. When a teammate comments on an event you’re subscribed to—or mentions you directly—you’ll see it here. Click any comment to view it in context and respond to or resolve it.

🔵 Manage Inbox Notifications

Use the three dots menu in the upper right corner of the inbox to:

  • Mark all notifications as read

  • Delete all read notifications

  • Delete all notifications

📌 The Comments Sidebar

For a broader view of what’s happening across your organization, open the Comments Sidebar by clicking the comment icon in the upper right corner of the calendar page near + Filters.

This panel displays all unresolved comments across all events.

Hovering over a comment will automatically highlight the corresponding event on the calendar, and Prospero will shift the calendar view so the highlighted event is front and center if it's not displayed in the current month/week/day view. It’s a fast, intuitive way to review open conversations and keep your team in sync.

Double-click a comment in the sidebar to immediately open the expanded event page with that comment highlighted.

✅ Resolve and Revisit

Once a comment has been addressed, simply mark it Resolved either from the sidebar or from the event page. This clears the comment from the sidebar, helping you focus only on active conversations. Resolved comments remain visible on the event itself and are still accessible through your Inbox if on a subscribed event. Notifications for resolved comments will stay in your inbox until they are cleared manually. If something comes back up, you can always unresolve it from the event page to reopen the thread.

☑️ Manage Your Tasks with Comments

Comments are a powerful way to track and manage action items across your calendar. Each unresolved comment functions like a task. Whether someone’s flagging a missing piece of information, asking for clarification, or assigning a follow-up, leaving a comment ensures that the note stays visible and tied to the exact event it relates to.

The Comments Sidebar acts as a dynamic, real-time to-do list for your entire organization. You can quickly scan everything that’s unresolved, hover to find the related events on the calendar, and move between tasks as you work. It’s ideal for production meetings, weekly check-ins, or simply staying on top of what still needs doing.

As comments are addressed, you can mark them Resolved. This clears them from the Comments Sidebar, helping keep your task list focused and up to date. And because comments stay on their original events, you’ll always have a record of what was said, what was done, and what’s still waiting in the wings.

💡 Tips for Using Comments Effectively

  • Use comments to flag questions, assign quick tasks, or log decisions made during meetings.

  • Keep your Inbox clean by resolving and deleting comments you’ve addressed.

  • Encourage teammates to respond directly in the comment thread to maintain clear communication.

  • Use @mentions to direct attention.

  • Scan the Comments Sidebar daily to review outstanding threads.
