Prospero has integrated Google Calendar syncing, so you can seamlessly add events from a saved Prospero calendar view to any Google Calendar.
To sync your Google Calendar, first go to Settings from the sidebar and go to the Integrations tab.
Click Sign in with Google and sign into the Google account you want to sync with your Prospero calendar views.
After you sign in, go back to the Integrations tab. Google integration should now be Enabled.
❗️ Note: Syncing happens per user, not per organization, so ensure that only one user is synced to your organization's Google account at a time to avoid duplicate calendars. That person can then share the calendar with multiple people from within their Google account.
From here, select the calendar views you want to sync to your Google calendar. Each view will sync as its own separate calendar.
Click Save Settings to sync the events in the selected views to your Google calendar. This can take a few minutes to up to a few hours to complete depending on the volume of events.
❗️ Note: If an event is included in multiple views, that event will sync multiple times in separate Google calendars when those views are synced to Google. To avoid multiple instances of the same event, sync views with minimal overlapping events.
Third-Party Invitations
Syncing a view to Google turns it into a new Google Calendar, so while Prospero gives you the option to turn on Google invites, third-party invite emails are always sent from Google, not from Prospero. This means that once invitations are turned on, the only way to turn them off without sending cancellation notifications is to turn them off in Google. By default, syncing events to Google Calendar will not send calendar invitations to attendees. If you would like attendees whose emails are stored in Prospero to automatically receive Google Calendar invites for synced events, toggle on Invitations under Integrations Settings for Google Calendar and sync the desired view. This will turn on invitations for that view/calendar in Google until they are turned off in Google.
If you turn on invitations while some views are already synced, Google will send invites to all attendees for all existing upcoming events in the synced views. If you do not want invites to go out for certain views, toggle their sync with Google off before turning on Invitations.
If you sync a view with invitations already enabled, Google will send invites to all attendees for all existing upcoming events. Prospero will warn you about invitation emails that will go out to attendees when syncing a view, so you can confirm before anything is sent.
If you later de-sync a view after syncing it with invites on, Google Calendar will send cancellation notifications to any previously invited attendees for every existing upcoming event, because the events are being removed from Google Calendar and effectively cancelled in Google. Prospero will also warn you about outgoing cancellation notifications so you can confirm before de-syncing.
If you turn invites off and the view re-syncs, Google will still send cancellation notifications for all existing upcoming events because turning invites off in Prospero essentially un-invites attendees in Google.
