Sync to Microsoft Outlook Calendar

View your events in any Microsoft Outlook Calendar

Prospero has integrated Microsoft Outlook calendar syncing, so you can seamlessly add events from a saved Prospero calendar view to any Outlook calendar.

To sync your Outlook calendar, first go to Settings from the Calendar sidebar and go to the Integrations tab.

Scroll down past the Google Calendar sync settings to the Microsoft Outlook sync settings. Click Sign in with Microsoft and sign into the Microsoft account you want to sync with your Prospero calendar views.

After you sign in, go back to the Integrations tab. Microsoft Outlook integration should now be Enabled.

From here, select the calendar views you want to sync to your Outlook calendar. Each view will sync as its own separate calendar.

Click Save Settings to sync the events in the selected views to your Outlook calendar. This can take a few minutes to up to a few hours to complete depending on the volume of events.

โ—๏ธ Note: Syncing happens per user, not per organization, so ensure that only one user is synced to your organization's Outlook account at a time to avoid duplicate calendars. That person can then share the calendar with multiple people from within their Outlook account.

Alternatively, have all syncing admins save one turn off invitations so that invitees only receive a single invite per event.

Sync from the Calendar

To sync a view directly from the calendar, go to the chosen calendar view and click the gray Outlook icon in the upper right corner next to the view link to Enable Outlook calendar sync for the current view.

Upon confirming to sync the view, the icon will be colored on and provide the option to Disable Outlook Calendar sync if you decide to stop syncing the view.

โ—๏ธ Note: If an event is included in multiple views, that event will sync multiple times in separate Outlook calendars when those views are synced to Outlook.

To avoid multiples of the same event, sync views with minimal overlapping events, such as separate project views or separate location views.

Disabling Third-party Invites

If you sync events with attendees assigned who have their emails stored in Prospero, those attendees will automatically receive Outlook Calendar event invites to Prospero events that sync to Outlook. To disable these third-party invites, toggle the automatic invitations to events synced to Outlook Calendar under Integrations Settings.
