Learn how session bookings and attendance works

Overview

PT Mate keeps track of session attendance and automatically updates your clients' packs of sessions and direct debits. This way you always stay on top of your finances (unpaid sessions vs available sessions) as well as your clients' commitment.

Session bookings help you to plan your group sessions ahead of time

Session bookings

Your clients can book into your group sessions and cancel their bookings. There are various options for you to manage bookings on each session:

  • Bookings open: Set a time when people can book in. By default, there is no limit.

  • Bookings close: Set a time when people can't book in any more (e.g. 24h before the session). By default, people can book in or cancel up to the session start time.

  • Limit attendees: You can set a number of available slots. Anyone who books into a full session will enter a waiting list.

How to book into a session

On the Client App, you clients can book into sessions and cancel their bookings within the sessions' booking windows. They will be notified if bookings are not (yet) available.

You can also manage session bookings on the Trainer Web Portal by adding or removing people from the booking list.

Manage session attendance

1:1 sessions

Once you start a session, it will automatically be marked as attended.

If you don't run the session through PT Mate you can always update the session attendance after the session is finished (or supposed to finish)

Group sessions

When you start a session, you'll be asked to confirm the attendance by selecting the clients that attend it.

Regardless whether you run the session or not, you can always update the session attendance afterwards by adding or removing clients.

Note: Once added as an attendee, PT Mate will update your client's pack of sessions.

Automatically update your client session packs

PT Mate helps you stay on top of your clients' session packs. This way you'll always know if your clients have unpaid sessions, or how many sessions are left on their pack.

Once you mark a session as attended or add the client to your attendees list, PT Mate will automatically update their pack of sessions (or direct debit).

Why is confirming attendance so important?

PT Mate is a completely integrated system but it only know what you tell it. By confirming the attendance of each session allows the system to deduct sessions from packs - keeping you updated on sessions packs and getting paid correctly.

By using the programming feature and running sessions using PT Mate - when logging client's results, PT Mate saves and updates those results to your client profiles keeping you informed about your all client progress.

You can manage attendance after the session finished too, this is especially useful for

  • Late show ups

  • A session run without PT Mate's assistance
