It's a good idea to set up your PT Mate account over a period of about a month.

As you work through setting everything up you will become more familiar with how everything works.

When you originally sign up to PT Mate you receive an initial 14 days free to take a look around.

If you're happy with PT Mate to manage your business subscribe to the subscription that suits you best. You'll receive a further 30 days free to take your time getting set up.

To set up have a read through the steps below. Once you have set everything up you'll feel ready to start too.

First organise your training schedule.

Set up your training schedule

  • You're able to set up group sessions that your members can book into, you can limit session numbers with session waitlists, Clients are notified if there are updates to sessions they're booked in for.

  • You can schedule private group sessions that you invite the attendees, They are the only members that can view those sessions in your calendar.

  • And 1:1 sessions, you can select the client you want to book in and the trainer you want to run the session, your client will receive a notification at the time of the booking and a reminder 24 hours before the session.

Getting your clients connected

Importing your clients list all at one time

Use the excel template available to download from you client import page to configure your client list then upload it to create your new PT Mate client list https://ptmate.app/clients/import.

You will have the option to send an invite to all of your clients or not.

If you select not to send the invite you will be able to send the invite at a later stage in their client's profile overview page https://ptmate.app/clients/

Billing

You have full control with all of your billing.

From your Billing tab - https://ptmate.app/billing

You can create any type of session pack and session recurring debit with session limits, you can also create merchandise and other products or services to sell. If you limit session credits to payments, PT Mate will be able to help manage your clients attendance and sessions credits at the same time.

You can also manually manage client session credits from the billing tab in your Client's profile.

Clients uploading card details

Your clients can upload their card details securely to their client account in their client apps allowing you to set up payments without having to wait to collect details.

Document Storage

If you have client documents you'd like to store, you can store them in the client document storage in your Admin tab https://ptmate.app/admin/documents or in the 'Details' tab in each of your client's profiles.

We have some templates available to download if you need them but you are not limited to these at all.

To ensure your tribe receive updates and reminders have them set them Client app notifications on.

Connecting your assistant trainers - From your admin tab on the trainer portal https://ptmate.app/admin you can send an email invite to your assistant trainers.

Your assistant trainer will receive an email to download their own PT Mate Trainer app, sign up as a trainer and connect with you. You will be notified once they've connected.

FOR YOUR ASSISTANT TRAINERS - Switching to assistant trainer profile

On the trainer portal - Switch over to assistant trainer profile

  • Use the drop down box in top right corner

  • Switch to assistant of "Trainer's name"

From their PT Mate Trainer app to switch to Assistant Trainer

  • Using the drop down arrow tap the business name.

  • Switch training ground

Any training ground they're connected to will pop up for them to select. Once they've switched over they'll have access to view all calendars for your business. Assistant trainers can only interact with sessions they are assigned to.

You will need to assign your assistant trainers to each session you want them to run (you can set ongoing sessions to specific trainers when creating your recurring 1:1 or group sessions). You can assign the trainer when setting the session up or update them from your calendar.

This will get you set up and familiar with the system.

There are lots of features that you'll learn more about that will assist you once you're all set up to help you run your daily tasks.
