How to Upload Employee Data Manually (Pyn 2)

Learn how to use a spreadsheet to import and update your employee data in Pyn 2 without a direct HRIS connection.

Creating Your Spreadsheet

To import employee data into Pyn, create a spreadsheet in .XLSX, .XLS, or .CSV format.

Your spreadsheet can be simple—just three standard columns:

  • Email – Employee's primary work email address

  • Name – Employee's preferred name

  • Manager Email – Employee's manager's email address (optional, used to establish reporting lines)

Additional Attributes & Scheduling Data: You can include additional fields to leverage Pyn’s timing, filtering, and automation triggers:

  • Hire Date / Start Date: Used to power lifecycle moments like Onboarding and Anniversaries. (Supported formats: YYYY/MM/DD [preferred], MM/DD/YYYY, or DD/MM/YYYY).

  • Time Zone: Used to deliver messages at the right local hour for each employee (e.g., America/New_York, Australia/Sydney).

    • For help with how time zones should appear in your spreadsheet, see this list of time zones for the timezone name to include. For date format, you can use YYYY/MM/DD (preferred), MM/DD/YYYY, or DD/MM/YYYY, and Pyn will automatically determine the date system you are using.

  • Demographics: Include columns like Department, Location, Job Title, or Division to enable audience filters and conditional content.

Step-by-Step: Uploading Your Employee File

1. Navigate to Integrations

From the left-hand navigation sidebar, click on Settings (bottom left near your avatar) > Integrations > Available.

2. Select File Upload

Click on the File Upload tile to open the file import modal.

3. Upload and Review Changes

  • Select and upload your prepared .XLSX, .XLS, or .CSV file.

  • Pyn will display a preview summary listing all new employees, removed records, and updated field values.

4. Apply Changes

Click Apply (or Save) to confirm the import. Once uploaded, your employee records will immediately populate into the Directory tab.

Frequently Asked Questions

  • Can I include additional custom fields or demographics in the upload?

    Yes! Refer to the Pyn Data Dictionary to see the full list of supported fields (such as Birthday, Personal Email, Job Level, and Employment Type).

  • How do I make bulk updates to existing employee records?

    You can export your current roster, apply your adjustments directly in Excel/CSV, and re-upload the file via Settings > Integrations > Available > File Upload.
