Contractor Compliance

How the contractor can complete compliance in Quartz.

Compliance items could be right to work documentation, driver licence, DBS, or contracts, etc. that an organisation may require team members to complete prior to commencing work, or an ad hoc request. Once an organisation has requested a User to return compliance items, an email will be received, and Contractor’s are required to log-in to the portal to read, sign, and submit compliance items as required.

Compliance Allocated Email

When an Organisation User has allocated Compliance to a Contractor, the Contractor will receive an email alerting them to this.

The Contractor should then click the LOGIN and sign into Timesheets to view what is required.

Compliance Area

Once logged into the Contractor Portal, click on the Compliance Documents link, highlighted above. This opens up the list of Compliance items.

Template: title of the Compliance Template being requested.
Document: view/download the document that the Organisation want the Contractor to review.
Status: current status of the Compliance.
Actions: See below.

Upload: once compliance items have been uploaded, they display here.

Completing Compliance

Each compliance item must be actioned individually.
In the Upload/ E-sign column, clicking on this will show you any instructions from the agency and allow you to upload a file/ signature.

There are then one of two actions that a Contractor can take to submit the Compliance requirements, compliance items must either be uploaded or e-signed.

Completing Compliance - E-Sign

Some Compliance items require Contractors to sign them.

Click on the E-Sign from the Actions menu.

Click SIGN to sign the document.

The status of the document is then changed, as the Organisation needs final approval of the document.

If the contractor does not agree with what they have been asked to sign, it is best that they contact the Organisation directly to have this rectified. There is no way for the Contractor to refuse an item, and leaving compliance pending may mean the Contractor is unable to commence work. If the agency user has created the (Not applicable) template, and if it is agreed with your organisation, you can select "Not applicable" and sign it.

Completing Compliance - Document Upload

Some Compliance items require Contractors to upload documents.

Click on Upload from the Actions menu.

Choose files to be uploaded per Compliance Category, the file types and document limits are listed on the pop-up box.

The item that has been uploaded for the particular Compliance category will then be displayed in the Upload column of the line, and can be removed or downloaded by the Contractor User.
