Understand the all timesheets screen in Quartz

The All Timesheets screen is where every timesheet in the system is stored, it is the easiest way to view every timesheet, or to search for particular timesheets. To gain access to the All Timesheets area, navigate to the User Timesheets area via the Grid Menu, and press the USER TIMESHEETS button.

Navigating the All Timesheets Area

There are many filters that can be applied to the All Timesheets screen, and search results are easily exported to an Excel spreadsheet making Timesheet reporting simple.

Search field definitions:

Timesheet Number: If you know the specific timesheets that you are searching for, the number can be located in this field, this field is also stackable, so multiple timesheet numbers can be selected

Assignment Number: You can search for timesheets under a specific assignment
Timesheet Dates: Select the start/end date of the timesheet

Last Submitted days in: How many days ago was the timesheet submitted
Client: Choose a client, this field is stackable so multiple clients can be selected
Contractor: Choose a Contractor, this field is stackable so multiple Contractors can be selected
Supplier: Choose a supplier, this field is stackable so multiple clients can be selected
Invoice Status: Select the timesheet status, this field is stackable so multiple status’ can be selected

Workflow Type: was the timesheet an Esign or an Image Upload

Only Adjustment – Selecting Yes will show only adjustment timesheets
Cancelled Weeks: Select Yes to view any cancelled weeks that have been entered via assignments

Once search filters have been applied, the results will display. You can use the Export buttons in the grid to export the timesheets to excel.

All Timesheets - Actions

Actions can also be performed from this screen, scroll to the far right of the screen, depending at the status of a timesheet and the requirements for processing, there are many different icons and actions available here.
In this example, the timesheet is unpaid, and unbilled, status ‘Awaiting Authorisation’

View – view the timesheet details

Download PDF – download the timesheet PDF

Link/Unlink Purchase Order - link or unlink a Purchase Order to this timesheet

Mark as Billed: If you do not want the timesheet to be included in a Billing Batch, select this option, the timesheet will manually be marked as billed, and will not be able to be added to a batch. If this is pressed in error, the icon will change and you will be able to un-do this action

Mark as Paid: If you do not want the timesheet to be included in a Payment Batch, select this option, the timesheet will manually be marked as paid, and will not be able to be added to a batch. If this is pressed in error, the icon will change and you will be able to un-do this action

Reject - Reject the timesheet if the hours are incorrect
The other Action Icon that is available if a timesheet has been paid/billed, is to raise an adjustment, this icon is as per below.
