Accessing Your Clients

To view your client database:

  1. Select the people icon on the left-hand menu

  2. This opens your CRA (Client Relationship Automation) dashboard

Search by Name or Email

Use the search bar at the top to find clients instantly:

  • Enter a client's name

  • Or enter their email address

Results appear in real-time as you type.

Filter by Client Type

Use the client type filter to view specific categories:

  • Buyer

  • Seller

  • Tenant

  • Landlord

  • Referral

Filter by Status

The status filter lets you narrow clients based on their position in your pipeline:

  • New Client

  • Met with Client

  • Pre-approved

  • Listing Prepped

  • Showings-Tours

  • Sending & Receiving Offers

  • In Contract

  • Closed

Additional Filter Options

For Team Leaders:

  • View contacts for associate team members

Advanced Filters:

  • Filter by client creation date

  • Filter by custom tags

As you adjust your filters, the results table below updates automatically in real-time.

Understanding Your Client View

Each client row displays multiple columns giving you a comprehensive view at a glance:

Core Information Columns

  • Client Name: The contact's full name

  • Email Address: Primary email for the client

  • Engagement Score: A number out of 10 that predicts how likely this client is to transact based on their engagement with the system

  • Assigned Agent: Which team member is responsible for this client

  • Created Date: When the client was added to your database

  • Updated Date: When the client record was last modified

  • Type: Buyer, Seller, Tenant, Landlord, or Referral

Activity & Communication Columns

  • Visits: Number of times the client has accessed your platform

  • Last Activity: Recent interactions such as:

    • Property recommendations sent by the system

    • Last text message sent or received

    • Recent communications

  • Source: How the client entered your database

  • Tags: Custom labels you've applied

  • Address: Client's property or location information

Search & Listings Section

This section shows different information depending on client type:

For Seller Clients:

  • Active listings on the market

For Buyer Clients:

  • Home search criteria (e.g., "Searching in Pacific Heights between $1.5M and $2M")

  • Number of properties viewed

  • Number of properties shortlisted

  • Number of properties rejected

Customizing Your View

If too many columns are displayed, you can customize what you see:

  1. Click the columns dropdown at the top right

  2. Deselect columns that aren't relevant to your workflow

  3. Column types are organized into categories for easy navigation:

    • Details: Client information and profile data

    • Communications: Activity and interaction history

Your customized view will be saved for future sessions.

Using Bulk Actions

Bulk actions allow you to update multiple clients simultaneously, saving hours of manual work.

How to Use Bulk Actions

  1. Select multiple contacts by checking the boxes next to client names

  2. Choose from the available bulk action options that appear

Assign Tags in Bulk

Apply custom tags to multiple clients at once:

  1. Select the clients you want to tag

  2. Click the tag icon

  3. Choose from existing tags or create new ones

  4. Tags are applied instantly to all selected clients

Change Client Type in Bulk

Update client types for multiple contacts:

  1. Select the clients you want to update

  2. Click the client type icon

  3. Choose the new type (Buyer, Seller, Landlord, Tenant, or Referral)

  4. Click Save

Common Use Case: Converting multiple buyer clients to seller clients when their circumstances change.

Invite Clients to Your App in Bulk

Send app invitations to multiple contacts simultaneously:

  1. Select the clients you want to invite

  2. Click the phone icon

  3. Customize your invitation message

  4. Click Send Invitations

The system will send both email and text invites to all selected contacts.

Archiving Clients

Keep your database organized by archiving clients you no longer actively work with.

How to Archive a Client

  1. Select the client(s) you want to archive

  2. Click the archive option

  3. Indicate why you're removing this client from your active database

  4. Confirm the archive action

Restoring Archived Clients

Don't worry—archived clients can easily be retrieved:

  1. Click the archived button at the top right

  2. Click the three dots next to the client you want to restore

  3. Select Restore

  4. The client will reappear in your active client list

Creating Smart Lists

Smart Lists offer fast, easy access to client segments you view regularly.

What Are Smart Lists?

Smart Lists are saved filters that let you instantly view specific client groups without re-applying filters each time.

Example use cases:

  • Sphere of Influence (SOI)

  • VIP Clients

  • Hot Leads

  • Pre-approved Buyers

  • Active Listings

How to Create a Smart List

  1. Apply filters to display the clients you want to save (e.g., filter by tag "Sphere of Influence")

  2. Select the contacts with these criteria

  3. Click "Add Smart List"

  4. Enter a name that makes the list easily identifiable

  5. Add a brief description (optional but recommended)

  6. Click "Save New Smart List"

Accessing Your Smart Lists

Once created, quickly access your Smart Lists:

  1. Look in the top left of your client dashboard

  2. Click on any Smart List name to instantly view those clients

Editing or Deleting Smart Lists

To modify an existing Smart List:

  1. Click the Edit button next to Smart Lists

  2. You can:

    • Edit the name

    • Edit the description

    • Delete the list altogether

  3. Save your changes

Pay special attention to clients with high engagement scores (8-10 out of 10)—they're most likely to transact soon.

Keep Tags Organized

Create a consistent tagging system across your team:

  • Use clear, descriptive tag names

  • Avoid creating duplicate tags with similar meanings

  • Regularly review and consolidate tags

Review Activity Regularly

Check the "Last Activity" column frequently to identify clients who need follow-up.

Leverage Smart Lists

Create Smart Lists for segments you check daily or weekly to save time navigating filters.

Clean Your Database

Q: What's the difference between archiving and deleting a client?
A: Archiving removes clients from your active list but preserves all their data. Archived clients can be restored anytime. Deleting permanently removes data and cannot be undone.

A: Team leaders can view contacts for their associate team members using the team filter. Individual agents can only see their own assigned clients.

Q: How many Smart Lists can I create?
A: There's no limit! Create as many Smart Lists as you need to organize your workflow.

Q: Will bulk actions affect clients I didn't select?
A: No, bulk actions only apply to clients you've specifically selected with checkboxes.

Q: Can I export my client list?
A: Contact support for information about export options and data formats.
