Organize Your Pipeline with Smart Lists

Smart Lists allow you to organize and segment your clients based on specific criteria such as client type, status, team member, or tags. Once created, Smart Lists provide quick access to targeted client groups, helping you manage your pipeline more efficiently and focus on the clients that matter most.

How to Create a Smart List:

Step 1: Apply Filters

Use the available filters to define which clients you want to include in your Smart List. You can filter by:

  • Client Type: Buyer, Seller, Tenant, Landlord, or Referral

  • Status: New Client, Met with Client, Pre-approved, Listing Prepped, Showings-Tours, Sending & Receiving Offers, In Contract, or Closed

  • Team Member: (Team Leaders and admins only) Filter by individual team member

  • Tags: Click the filter icon to apply tag-based filters

Step 2: Review Results

The system will generate a list of clients matching your filter criteria. Take a moment to verify these are the clients you want to include.

Step 3: Select Clients

Choose the specific clients you want to add to your Smart List from the filtered results.

Step 4: Create the Smart List

Click the "Add Smart List" button in the top right corner.

Step 5: Name and Describe

Enter a name and description for your Smart List that clearly identifies the clients included. Use descriptive names like "First-Time Buyers - Pre-Approved" or "Q1 Listings - In Contract."

Step 6: Save

Click Save New Smart List to finalize your list.

Accessing Your Smart Lists

To view your saved Smart Lists:

  1. Click "Smart Lists" in the top left navigation

  2. Browse your saved Smart Lists, which display:

    • List name

    • Description

    • Total client count

  3. Select any Smart List to view the clients included

Managing Smart Lists

Editing a Smart List

To modify an existing Smart List:

  1. Navigate to Smart Lists in the top left

  2. Click the Edit button next to the Smart List name

  3. Make your desired changes to filters, clients, name, or description

  4. Save your updates

Deleting a Smart List

To remove a Smart List you no longer need:

  1. Navigate to Smart Lists in the top left

  2. Click the Edit button next to the Smart List name

  3. Select "Delete List"

  4. Confirm the deletion

Important Note: Deleting a Smart List does not delete the clients themselves—only the list configuration. Your clients will remain in your main client list.

Q: Can I edit the filters on an existing Smart List?
A: Yes, click the Edit button next to the Smart List name to modify your filters and criteria.

Q: Who can create Smart Lists?
A: All users can create Smart Lists. However, only Team Leaders and admins can filter by team member.

Q: Will clients automatically be added to a Smart List when they meet the criteria?
A: Smart Lists are created based on the clients that match your filters at the time of creation. You'll need to update or recreate the list to reflect new clients who meet the criteria.

Q: How many Smart Lists can I create?
A: There is no limit to the number of Smart Lists you can create. Organize your clients in as many ways as needed for your workflow.

Q: Can I share Smart Lists with my team?
A: Smart Lists are currently visible only to the user who created them. Team Leaders can create lists filtered by team member to organize team pipelines.
