Step-by-Step Instructions
Prerequisites
Before setting up your Zap, ensure you have:
Access to Zapier with the Radius app available and published
Valid Radius API keys
Access to your Follow Up Boss account
Agent names that exactly match between Radius and Follow Up Boss (critical for proper mapping)
Important Note: This is currently a one-way sync. Changes made in Radius will update Follow Up Boss, but changes made in Follow Up Boss will not sync back to Radius.
Step 1: Create a New Zap
Log in to your Zapier account
Click Create Zap
Select Radius as the Trigger App
Step 2: Configure the Trigger (Radius)
Set Trigger App to Radius
Set Trigger Event to Reassign Agent
Click Continue
Connect Radius Account:
Click to connect your Radius account
Enter your Radius API keys when prompted
Once connected, proceed to the test phase
Test the Trigger:
Send a dummy record from Radius to test the connection
Example test data:
Agent: [Select an agent from your system]
Lead: Use a test name and email address
Click Test Trigger to verify data is received successfully
Confirm that the test data appears correctly in Zapier
Step 3: Configure the Action (Follow Up Boss)
Set Action App to Follow Up Boss
Set Action Event to Reassign Agent
Click Continue
Connect Follow Up Boss Account:
Select the Follow Up Boss account you want to sync with
Confirm the connection is established
Proceed to configure action details
Step 4: Configure Lead Identification
Choose how leads should be identified in Follow Up Boss. You have three options:
Email (recommended – most reliable unique identifier)
Phone number
ID
Recommended Setup Using Email:
In the lead identification field, click the + (Insert Data) button
Select Radius Lead Email from the trigger data dropdown
This ensures each lead is correctly matched based on their email address
Step 5: Agent Assignment Mapping
You have two options for mapping agent assignments. Choose the one that fits your workflow:
Option A: Static Assignment
Use this for testing or special use cases where all reassignments go to one specific agent.
Select Static as the mapping type
Choose a fixed agent from the Follow Up Boss dropdown (e.g., a specific team member)
Result: All reassigned leads will always go to this agent, regardless of who was selected in Radius
Note: This option is typically used only for testing purposes or very specific scenarios.
Option B: Custom Assignment (Recommended)
Use this for dynamic agent mapping that mirrors your Radius assignments.
Select Custom as the mapping type
Click the + (Insert Data) button
Map to Assigned Agent Name from the Radius trigger data
Result: The lead is assigned to the same agent selected in Radius
Critical Requirement: Agent names must exactly match between Radius and Follow Up Boss for this mapping to work correctly. Any variation in spelling, capitalization, or formatting will cause the reassignment to fail.
Step 6: Test and Publish
Click Test Action to run a test reassignment
Verify the following:
The correct lead was identified in Follow Up Boss
The lead was reassigned to the expected agent
No error messages appeared
Once the test is successful, click Publish Zap
Your Zap is now live and will automatically sync agent reassignments from Radius to Follow Up Boss
Frequently Asked Questions
Q: What happens if an agent name in Radius doesn't match Follow Up Boss?
A: The reassignment will fail if using Custom Assignment mapping. The Zap will show an error in your Zapier history. You'll need to ensure agent names match exactly between both systems, including capitalization, spacing, and any special characters.
Q: Can I sync reassignments from Follow Up Boss back to Radius?
A: No, this is currently a one-way sync from Radius to Follow Up Boss. Changes made in Follow Up Boss will not automatically update in Radius.
Q: How quickly does the reassignment sync to Follow Up Boss?
A: Zapier typically processes triggers within 1-2 minutes on most plans. The exact timing depends on your Zapier plan and current system load. Premium Zapier plans offer faster sync times.
Q: What should I use for lead identification – email, phone, or ID?
A: Email is recommended because it's the most reliable unique identifier. Phone numbers can be formatted differently or change over time, and IDs may not be consistently available across both systems.
Q: When should I use Static Assignment instead of Custom Assignment?
A: Static Assignment is primarily useful for testing your Zap setup or for special scenarios where all reassignments should go to a specific team member (such as a lead distribution manager). For normal operations, Custom Assignment is recommended so that the Radius agent selection is honored in Follow Up Boss.
Q: Can I map multiple agents at once?
A: No, each reassignment processes one lead and one agent at a time. However, the Zap will automatically run for each individual reassignment that occurs in Radius.
Q: What happens if I reassign a lead in Radius that doesn't exist in Follow Up Boss?
A: The Zap will fail for that specific lead since it cannot locate a matching record. Ensure leads exist in Follow Up Boss before reassigning them in Radius, or create a separate Zap to sync new leads first.
Q: How can I tell if my Zap is working correctly?
A: Check your Zapier dashboard under "Zap History" to see all recent runs, including successes and failures. You can also verify by performing a test reassignment in Radius and confirming the change appears in Follow Up Boss.
Q: Do I need a paid Zapier plan for this integration?
A: While you can test with a free Zapier account, a paid plan is recommended for production use to ensure reliable syncing, faster processing times, and access to Zapier's full feature set.
Q: Can I add additional actions to this Zap?
A: Yes, Zapier allows multi-step Zaps. You could add additional actions such as sending notifications, updating a spreadsheet, or creating tasks when an agent reassignment occurs. However, start with the basic setup first to ensure it works correctly.
Q: What should I do if the Zap stops working?
A: First, check your Zapier dashboard for error messages in the Zap History. Common issues include expired API keys, disconnected accounts, or agent name mismatches. Reconnect your accounts if needed, verify your API keys are current, and ensure agent names still match between systems.
