How do I record a donation during a call?

While you are on a call in the dialer, the full contact profile is open on the screen. You can log a received donation, log a pledge (a promise to give), and write a note without leaving the call. This article covers each one.

First, decide which you are recording:

  • A donation is money the person has already given. Record it in the Donations

section.

  • A pledge is a promise to give later. Record it in the pledge box while you log

the call outcome, or add it from the Pledges section.

Record a donation the person already gave

  1. Find the Donations section on the contact profile.

  2. Click the plus (+) icon next to the Donations heading. This opens the Add

Donation window.

  1. The Contact field is already filled in with the person you are calling. Leave

it as is.

  1. Enter the Amount (USD). This field is required.

  2. Enter the Date. This field is required.

  3. Fill in any of the optional fields if you have them: Receipt ID, Reference

Code, Fundraising Page, Line Item ID, Donor Email, Donor Phone, and Tags.

  1. Click Add Donation to save.

The new donation appears in the Donations list on the profile, and the Total under the Donations heading updates.

Log a pledge instead of a donation

If the person commits to give but has not paid yet, record it as a pledge while you save the call outcome:

  1. Open the Notes & Calls tab. The note and outcome box has an "Add your

note..." field with a pledge box below it.

  1. Type the pledge amount in the box with the "$" prefix.

  2. Use the Hard / Soft switch to mark whether the pledge is hard or soft money.

  3. Set a Due date if the person gave you one.

  4. Add a note and pick a call outcome if you want to.

  5. Click Save Interaction.

You can also add a pledge separately using the plus (+) icon in the Pledges section of the profile.

Log the call outcome and a note

Recording a donation or a pledge does not by itself mark how the call went. To log the outcome:

  1. On the Notes & Calls tab, choose one of the call outcome buttons across the

top. The available outcomes are:

  • No Answer

  • Answered

  • Wrong / Disconnected

  • Refused

  • Call Back

  • Left Voicemail

  • Deceased

  • Do Not Contact

  1. Type any note in the "Add your note..." field.

  2. Click Save Interaction. You can also press Command + Enter to save.

You need to enter at least a note, an outcome, or a pledge before Save Interaction will save.

Tips

  • The Amount and Date fields are required when adding a donation. The plus icon

is right next to the Donations heading.

  • A donation and a pledge are tracked separately. Use the Donations section for

money already received and the pledge box for a future commitment.

  • If you save an outcome from a contact profile outside a dialer session and the

contact has more than one phone number, you are asked which phone number you called before the interaction saves.
