Change requests

Once a placement is active, agencies can request by creating a "change request". This guide explains how these change requests work.

You will need to create a change request for changes to:

  • End date (i.e extension)

  • Rate changes (pay or charge, any additional rates)

  • Payment terms

  • New client users: Hiring Manager / Timesheet Approver / Invoice Contact

  • PO numbers

  • Payment terms

  • Notice periods

There are a few occasions where you will not be able to edit a placement:

  • If the placement is pending compliance approval

  • If the placement is already pending an existing change request

  • If the placement is pending client approval

Selecting a placement to edit

Any changes will need to done through the placement page.

In the left hand navigation pane, select 'Placement' then the 'Placement type' (perm / temp), find and select the placement you wish to edit.

You will find the edit button just beneath your logo on the top right of the page.

Changing an end date and extensions

In order to change the end date:

  • In the placement page, click 'Edit'

  • Scroll down to ‘Placement Details

  • Click on the ‘End Date’ and edit to the desired end date.

  • Scroll to the bottom of the page and click Save

This change will need to be approved by both the hiring manager and the contractor.

Rate changes

In order to change the rate:

  • In the placement page, click 'Edit'

  • Scroll down to ‘Contractor Rates

  • Click the plus (+) button on the ‘Contractor Rate’ and/or “Client Rate’ you wish to change

  • Input the new ‘Rate’ whilst giving an ‘Effective From’ date (the date that the rate becomes active)

  • Scroll to the bottom of the page and click Save

Contractor rate changes will need to be approved by the contractor

Client rate changes will need to be approved by the hiring manager

Adding a new client user: Hiring Manager / Timesheet Approver / Invoice Contact

In order to add or update a new user:

  • In the placement page, click 'Edit'

  • Click the ‘Add New’ button on the placement screen

  • Input the ‘First Name’, ‘Last Name’ and ‘Email’ and select the relevant role(s)

  • Once happy with the details of the new user, click Insert

This change will be active immediately and any new users will be sent a welcome email with their login details

Amending and adding a PO number?

In order to add or update a PO number:

  • In the placement page, click 'Edit'

  • Scroll down to ‘Purchase Order Number

  • Click on the ‘Purchase Order Number’ text box and input the required PO number

  • Select what date the PO number is active from.

  • Scroll to the bottom of the page and click Save

There is no approval needed for this change.

If the PO number is being issued for backdated invoices, please contact support@raisetech.io who will reissue updated older invoices.

Changing payment terms

To change payment terms:

  • In the placement page, click 'Edit'

  • Scroll down to ‘Payment Terms

  • Click on 'Client Payment Terms' and/or 'Contractor Payment Terms'

  • Using the drop down, select the desired change

  • Scroll to the bottom of the page and click Save

This change will need to be approved by the hiring manager.

Changing notice periods

To change the notice period:

  • In the placement page, click 'edit'

  • Scroll down to ‘Notice Period

  • Click on ‘Client’s’ and/or ‘Contractor’s

  • Using the drop down, select the desired time period

  • Scroll to the bottom of the page and click Save

This change will need to be approved by both the hiring manager and the contractor.

Adding additional rates

To add an additional rate:

  • In the placement page, click 'edit'

  • Scroll down to ‘Contractor Rates

  • Click on ‘Add new additional rate’

  • Input the ‘rate name’, ‘unit type’, ‘contractor rate’, ‘client rate’, ‘standard units per week’ (estimate) and finally the ‘effective from date

  • Scroll to the bottom of the page and click Save

This change will need to be approved by both the hiring manager and the contractor.
