Onboarding a New Client in Practice Connect

What happens when your firm takes on a new client, how the vendor charge flows into Practice Connect, and how to get the XPM job created.

Overview

When your firm takes on a new client, Practice Connect tracks that client's software costs against a job in Xero Practice Manager (XPM). This is separate from billing a client through Recharges. This article covers what happens when a new client comes on and what you need to do. You do not need to tell us each time you take on a new client.

How it works

  • A new client appears in Practice Connect only after the vendor invoice has been imported. If you have added a new client onto your Xero subscription, they will appear at the next billing cycle, not immediately.

  • On your next billing cycle, when your Xero invoice is imported, the client's charge comes through. We notify you when it lands.

  • You then complete the mapping in Recharges and Practice Connect to create the three-way relationship between Xero Blue, the vendor charge, and XPM.

  • Once mapped, the newly mapped costs sit on the Pending Action page. They do not create a job on their own.

  • When you select the charge and choose Send for tracking, the job is created in XPM and every charge after that flows through automatically.

If the job is not showing

If a new client's job has not appeared in XPM, check these in order:

  • Check the Imports page and make sure the vendor invoice has been imported.

  • Make sure the charges have been mapped to the client in Practice Connect.

  • The first charge on the Pending Action page has been sent for tracking. The job is only created once you do this.
