How to import accounts from a variety of sources into a file

You can initiate the import process from the File Details page by using the Actions menu and selecting Import Accounts.

This will launch the Import Accounts popup, where you will make your selections and import the accounts.

If the file already has accounts, you will see an alert at the top of the Import Accounts popup asking if you would like to update account balances or append accounts.

Choosing Update account balances will update the balances of any accounts that were part of the import and already existed in the file.

Choosing Append accounts will ignore any existing accounts and import a new copy of any accounts that were part of the import and already existed in the file.

Note: Choosing this option may result in duplicate accounts.


Import an Excel File

Upload an excel file exported from another platform or created by hand.

Use the File Type selector to choose the appropriate file type. Check out our Supported File Types for more information as well as templates for each type.

Once you have selected your File Type and selected the file to upload, press the Upload File button. You may then proceed to Completing the Import.


Import from Xero

Connect directly to Xero to import a trial balance or balance sheet and income statement.

Before importing from Xero you must connect the client to Xero.

Once connected you will be able to select the report type and accounting method, then press the Import Accounts from Xero button.

You may then proceed to Completing the Import.


Import from QuickBooks Online

Connect directly to QuickBooks Online to import a trial balance or balance sheet and income statement.

Before importing from QuickBooks Online you must connect the client to QuickBooks Online.

Once connected you will be able to select the report type and accounting method, then press the Import Accounts from QuickBooks button.

You may then proceed to Completing the Import.


Importing from Prior Year

Roll accounts forward from the prior year. This will import account names, mappings, sub account, sch. f name, and 8825 names. It will NOT import balances.

You may initiate this process by either selecting Add PY Accounts from the Actions menu, or by selecting Import Accounts then selecting Prior Year.

Press the Add PY Accounts button. You may then proceed to Completing the Import.


Completing the Import

The popup will provide you with a list of accounts, their values, and their tax line mapping. If everything is in balance, you can use the Confirmed, Please Import button to complete the import.

A confirmation message will appear with the number of mapped and unmapped accounts. If you had existing accounts for the file and chose to update account values, you will also be shown the number of accounts that were updated.


Supported File Types

We currently support the following 6 types of file imports:

  • QuickBooks/QuickBooks Online Trial Balance

    • .xlsx format

    • Exported directly from QuickBooks/QuickBooks Online

    • Template: QB.xlsx, QBO.xlsx

  • QuickBooks/QuickBooks Online Balance Sheet and Income Statement

    • .xlsx format

    • Exported directly from QuickBooks/QuickBooks Online

    • The balance sheet and income statement should be in one excel workbook

    • The balance sheet should be the first worksheet of the workbook

    • Then income statement should be the second worksheet of the workbook

  • Xero Trial Balance

    • .xlsx format

    • Exported directly from Xero

    • Template: .xlsx

  • Xero Balance Sheet and Income Statement

    • .xlsx format

    • Exported directly from Xero

    • The balance sheet and income statement should be in one excel workbook

    • The balance sheet should be the first worksheet of the workbook

    • Then income statement should be the second worksheet of the workbook

  • 2 Column Trial Balance

    • .csv format

    • Account Name and Balance columns are required

    • Headers are optional

    • Template: .csv

  • 3 Column Trial Balance

    • .xlsx or .csv format

    • Account Name, Debit Balance, and Credit Balance columns are required

    • Headers are required and should be on the first row

    • Template: .xlsx, .csv
