In this article we will show you how to filter for records that need deep prospecting, and how to create a workflow so that exhausted records are automatically added to your Deep Prospecting SiftLine board to process.
*Note: this article outlines the steps for Deep Prospecting with BeenVerified. If you are using another source you can modify the SiftLine phases to match your processes. SiftLine boards, Filters/Filter Presets, Statuses and Sequences are all customizable so you can adjust to fit your business.
Identifying Exhausted Records
Deep Prospecting can be used for for probate records where you don't have the correct point of contact, records that have all wrong or dead numbers, owners you weren't able to reach at the end of your marketing attempts, return mail and more.
The Niche Sequential filters already include some filters for deep prospecting.

Here are some other ways to filter. Please keep in mind this only works if you are updating your phone statuses and marketing attempts appropriately.
Records that have no good numbers to call:
Add the Phone Status filter and select Include all phones: Wrong DNC, Wrong, Dead.
Records that are exhausted from marketing:
Add the Phone Status filter and select Do Not Include at least one phone: Correct and Correct DNC.
Next, add your marketing filters. This could be cold calling, direct mail, or SMS attempts based on your strategies. Then enter in the max number of attempts for each campaign.
For example. If I call a campaign 10 times, I would add the Call Attempts filter and enter in a min and max of 10 call attempts.
You can narrow down further by adding in lists, tags, or any other marketing criteria for records you want to target first.
Creating the Deep Prospecting Workflow
Below we will show you how to create the custom Deep Prospecting property status, the SiftLine board, and a Sequence to automatically add the records to the board.
Creating the Deep Prospecting Status
Our first step is to create a status for Deep Prospecting. Select the Statuses option on the left sidebar of your account. Next, select Create Custom Status. Label as Deep Prospecting, select a color then save.
Creating the Deep Prospecting SiftLine Board
Select SiftLine on the left side bar of your account, then click the plus sign to create a new board. Name your board Deep Prospecting. Select the users/roles and permission levels. SiftLine board permissions are separate from user roles.
Permissions:
Just Read - allows the user to view the board but they cannot move records through the board.
Read and Write - allows for viewing and moving records through the board.
Admin - allows
Create the following phases by clicking the plus sign to add each new phase:
Check Owner on BeenVerified - this is where your records will be sent to process. If you Deep Prospect on a different source you can name your phase to match.
Call New Numbers: Call owner numbers or heir if probate.
Research Relatives: If you do not reach the owner, move to the first relative.
Call Relatives: Call first relative, repeat only if you are unable to reach the owner or first relative.
Research on Socials: Research starting with the owner first.
Message on Socials: Message starting with the owner first.
Doorknock: Final phase, if you are still not able to find a contact for the property, doorknock.
Click Save towards the top of the top right once you've finished adding the phases.
Creating the Sequence/Automation
Now that the status and board are created, we can create a sequence to automatically add the records to the board once the property status changes to Deep Prospecting.
Select Sequences on the left side bar of your account.
Not Required but you can create separate folders to organize. To create a new folder for these sequences select Create Folder, and name it Deep Prospecting.
Select Create New sequence and add the following:
Trigger: Property Status Change
Condition: Property Status Change and select from Any to Deep Prospecting
Action: Create New Card. Select the Deep Prospecting SiftLine board, and the first phase in the board.
*Optional: If you want to add tasks for your team, go to the Tasks page and click Configure Presets.
Create a new group for Deep Prospecting and add a task to start or process deep prospecting. Assign the task to the team member that will be researching and select your due date.
In the sequence, click Add New Action, select Create task then Preset. Select the Task Preset you created for Deep Prospecting.
Name your sequence, select the folder you want to save it in and click Save Sequence.
