These filters serve as a base for you to create your marketing campaigns. Each time you are ready to market to a new campaign you can switch out the list or other marketing criteria.
Creating the Niche Sequential Folder
Our first step is to create a new folder to save the filter presets to.
On the Records page, select Filter Records.
Then Create New Folder.
Name the Folder 00. Niche Sequential and select Create Folder. If you want to restrict access for certain users you can select specific user or roles instead of Everybody.
Now that our folder is created, we can start building the presets.
Needs Skipped
The first filter preset we're going to create is Needs Skipped. This will show us records that have never been skip traced and have no phone numbers.
To start, click Add New Filter Block:
Select the Params & Others filter and Numbers -> No and Skiptraced -> No.
We also want to make sure we're only seeing records that have no property status and no call attempts.
Add the Property Status filter and select Do Not Include -> Any Statuses .
Now add the Call Attempts filter and select a minimum and maximum amount of 0.
We want to add in any specific marketing criteria like list names (distressors), list stacking, absentee owner, etc. For this example we're going to use the Any List filter and select the pre-foreclosure, probate, and tax delinquent lists. This means we would market to any records on at least one of these lists. If this campaign is too large for you to market to right now, you can select just one list or add in list stacking, absentee owner, vacant property, etc.
If you are pulling county data and stacked niche, tag all county data as County and include this tag when you are filtering for each of these campaigns so you are marketing to county records first. Then, if you're combining this with Bulk Sequential marketing, you'll exclude the county data tag so there is no crossover.
*Optional, if you are pulling courthouse data or directly from the county:
Tag all county/courthouse data as Courthouse Data on upload and include this tag with all your Niche Sequential filters.
Once all the filter options are added, click Save New.
Name your preset 00. Needs Skipped and click Save Preset.
Skipped No Numbers
Next up, we want to see which records have been skiptraced but still have no phone number results so we can skip trace in a second location.
From your Needs Skipped filter, just change Skiptraced to Yes. Then click Save New.
Save as 01. Skipped No Numbers.
Ready to Call
After we've skip traced all records and have phone number results for them, we want to see what has phone numbers and is ready to call. Using your Skipped No Numbers preset, select Numbers Yes. You can leave skip traced as yes or deselect it. Then Save New and save as 02. Ready to Call.
Follow-Ups 1,2,3
Next we will want to see which records need a follow up attempt. Here we will create 3 separate follow up filters by changing the call attempts to a min and max of 1, saving as Follow-Up 1, then a min and max of 2 saving as Follow-Up 2, and min and max of 3 and saving as Follow-Up 3.
(Repeat to create Follow Up 2 and Follow Up 3 by changing the call attempts minimum and maximum and saving as new).
Needs First Mail
After we've called through all the records for a total of 4 attempts (initial and 3 follow ups) we want to see who we still haven't reached yet, and send them direct mail.
For the Needs First Mail Preset, use your Follow Up 3 Preset as a base and change Call Attempts to a minimum of 4. Add the Direct Mail Attempts filter and select a minimum and maximum of 0. Under the Params and Others filter, select Vacant Mailing -> No so you don't waste marketing dollars mailing to a vacant house.
Note: Anyone with Vacant Mailing -> Yes can be skip traced in another location or Deep Prospected.
Save as 06. Needs First Mail
Mail Monthly
For anyone we still have not reached, we want to mail monthly. Here you can decide the max number of times you want to mail. This example is showing mailing a max of 12 times so they will receive a mailer once per month for one year.
The steps below show how to set up the direct mail monthly filter if you are mailing through REISift. If you are mailing outside of REISift you will need to track when you're mailing using tags instead of the last direct mailed date. If you are mailing monthly you'll tag by the month and the year and include the previous month's tag to see who needs to be mailed next. See an example of mailing outside of REISift here.
Using your Needs First Mail filter, change the Direct Mail Attempts to a minimum of 1 and a maximum of 12 (or however many times you want to mail).
Add the Last Direct Mailed filter and select the Prior to Date option, then 72 months prior to month.
Next, add the All Tags filter and select Do Not Include and Return Mail. Save as 07. Mail Monthly.
*Note: any filter option in Blue means it's being excluded. Any filter option in Red means it's being excluded.
Vacant Mailing -> Deep Prospect (DP)
For anyone that we could not reach by phone and could not mail due to a vacant mailing address, we would want to either skip trace in another location to see if we can gather additional numbers and try calling for a few attempts, or Deep Prospect.
For this filter preset, include the lists and any other criteria you're marketing to. Add the Phone Status filter and select Do Not Include then select Correct and Correct DNC and the option for "At Least One Phone". Add the Property Status filter and select Do Not Include and Any Status. Include the Call Attempts filter and select a minimum of 4. Add Params & Others filter block and select Vacant Mailing No.
Save as 08. Vacant Mailing -> DP.
Return Mail -> Deep Prospect (DP)
In this filter we want to see records that we've received return mail for so we can Deep Prospect them. Using the Vacant Mailing preset, remove the Params and Others filter block. Select the All Tags filter and include Return Mail. Save as 09. Return Mail -> DP.
No Response Direct Mail (DM) -> Deep Prospect (DP)
Now we want to see records we have not been able to reach by phone or by mail, so we can do some deeper research and see if we can gather either additional numbers for the owner, or move on to calling the relatives.
For this filter include the lists and any other criteria you're marketing to, select the Phone Status filter and Do Not Include Correct and Correct DNC (at least one phone). Select to Do Not Include Any Property Status. Direct Mail Attempts 6-12 (or however many max attempts you decide to mail), and Call Attempts minimum of 4. Save as 10. No Response DM -> DP.
Not Interested Quarterly (Qrtly)
This filter shows us which records became not interested during the prior quarter so we can follow up with them and see if their situation has changed.
Select the Property Status filter and include Not Interested. Now select the Last Updated Field Filter, then select Status for the field. Under Last Updated Date, select Prior to and enter in 72 months prior to Quarter.
Save as 11. Not Interested Qrtly.
*Note: If you find that many of the records have already sold when you reach back out, you can adjust the timeframe for follow up to every 60 days or so instead of every quarter/90 days.
Rehash
This filter shows us which records never responded from cold calling. Use the Rehash filter once per month to re-engage anyone who did not answer during the initial campaign.
Select Any List (or) and include your Niche lists. Select the Tags filter and include Courthouse Data. Exclude any Property Statuses. Add the Call Attempts filter and a minimum of 4. Select Numbers -> Yes under Params & Others.
Save as 12. Rehash.
FAQ
When I open the filter back up, Do Not Include switches to include. Why is that?
Include is our default option for adding new items to the filter. When you open up a saved preset you're going to see Include listed however if you selected Do Not Include when saving, then those options are going to be excluded. Anything in Blue means it's being included and anything in Red means it's being Excluded.
I mail outside of REISift, how do I track my mail attempts and last mailed date?
If you are mailing outside of REISift, you will need to increment your mail attempts after you export the records. Select all the records then go to Manage -> Update Attempts. Click the plus sign under the Direct Mail Attempts option and add 1 attempt, then click update.
You'll also want to add tags to track when you last mailed. Select the records, go to Manage and then Add Tags. Add a tag for DM MM/YYYY. When you mail for follow ups, include the previous month tag, and exclude the current one.

I want to do a modified version of Niche Sequential and just cold call, or just mail. Will that work?
While you may still get some leads, for best results we recommend marketing through multiple channels: Call, leave a voicemail, send a text for anyone you haven't reached. Then Send direct mail if you can't reach them by phone.
Is this the same as First to Market Challenge (FTM)?
No. With First to Market (FTM) challenge, you will be mailing, calling, and sending SMS as soon as the record comes in (pulling daily or weekly and typically applied to courthouse or county data where there is a smaller set of records). Niche Sequential starts with the cheapest marketing channel first (Cold Calling, and sending follow up sms) and only moves to a more expensive channel (Direct Mail) if you aren't able to reach by phone. If you want to mail at the same time you can do so by adjusting your direct mail filters so that they do not include call attempts.
Can I use a bulk dialer for Niche Sequential?
You can but it really depends on the types of records you are calling and the amount. For Probate it is probably best to click to call because you can gather heirs, relative info, tag the numbers, make detailed notes all within REISift.
If you're doing a bulk campaign for code violations or tax delinquent and you have thousands of records, then you could use a multi-line dialer.
